Senior Asset Manager
The Senior Asset Manager has overall responsibility for the performance of assigned commercial real estate assets, including financial results, leasing, property operations, capital projects, tenant matters, and execution of property business plans. The position is expected to understand each property operationally, analyze it financially, proactively identify risks and opportunities, develop sound recommendations, and drive matters through completion while protecting and enhancing asset value.
Essential Functions
- Own and execute business plans for assigned assets, with accountability for financial performance, leasing, property operations, capital projects, tenant matters, risk management, and value creation.
- Proactively identify asset-level risks and opportunities; investigate issues, develop well-supported recommendations, exercise sound judgment, and drive approved actions through completion.
- Develop and implement leasing strategies to increase occupancy, retain tenants, minimize downtime, and achieve market-supported rents; oversee marketing and leasing of available space.
- Evaluate lease economics and negotiate, prepare, administer, and enforce leases, amendments, renewals, and related agreements in coordination with brokers and legal counsel.
- Prepare and manage annual property budgets, forecasts, cash flow projections, and operating plans; analyze budget-to-actual results, explain variances, and implement corrective actions.
- Perform financial and operational analysis supporting asset-level decisions, including lease alternatives, capital expenditures, tenant improvements, vendor contracts, hold/sell considerations, and other investments.
- Develop capital plans and manage capital projects and tenant improvements from scope and budget through bidding, approvals, construction, closeout, and final cost reporting.
- Oversee day-to-day property operations, tenant service and communications, rent and receivables, security deposits, CAM and other recoveries, building safety, and compliance with applicable codes and regulations.
- Prepare accurate, timely property and portfolio reporting, including operating results, leasing activity, capital projects, tenant matters, risks, opportunities, and recommended actions.
- Manage and hold accountable third-party property managers, brokers, attorneys, contractors, consultants, and other vendors; negotiate contracts and monitor performance, cost, quality, and compliance.
- Review, code, approve, and resolve property invoices and payment matters in accordance with budgets, contracts, approval requirements, and internal controls.
- Maintain complete and accurate financial and property records, including leases, contracts, insurance certificates, property tax records, approvals, project files, reports, and other asset documentation.
- Develop, document, maintain, and continuously improve departmental processes, procedures, SOPs, templates, workflows, and controls for budgeting, forecasting, leasing, capital projects, property reporting, approvals, invoice processing, tenant matters, asset reviews, recordkeeping, and other recurring real estate activities.
- Help ensure departmental processes and controls are consistently followed across the team and that institutional knowledge is documented, accessible, and not dependent on individual employees.
- Train, guide, and provide day-to-day oversight to junior asset management and support staff; establish priorities, review work product, provide feedback, and support staff development while remaining accountable for assigned results.
- Use real estate, accounting, and analytical systems effectively, and perform other duties or special projects as assigned.
Supervisory Responsibilities
This position may directly supervise one or more employees and is expected to provide day-to-day leadership, training, work allocation, review, and guidance to junior asset management and support staff. The Senior Asset Manager reports to the President.
Knowledge, Skills, & Abilities
- Strong working knowledge of commercial property operations, leasing, tenant relations, capital projects, CAM reconciliations, budgeting, and financial reporting.
- Ability to interpret leases, contracts, legal documents, financial statements, operating reports, and other property-related records.
- Demonstrated financial and analytical capability, including budgeting, forecasting, cash flow analysis, budget-to-actual analysis, lease economics, capital planning, and evaluation of asset-level investment decisions.
- Sound judgment and problem-solving skills, with the ability to identify material issues, assess alternatives, make practical recommendations, and follow through to completion.
- Ability to balance strategic asset objectives with hands-on execution and attention to property-level details.
- Strong organizational and project-management skills, including the ability to establish priorities, manage multiple deadlines, and maintain accountability across internal and external parties.
- Ability to design, document, implement, and improve practical processes, procedures, templates, workflows, and controls.
- Leadership skills sufficient to train and guide staff, review work product, provide constructive feedback, and promote consistent execution across the team.
- Strong written and verbal communication skills, including the ability to present financial and operational information clearly to management, ownership, tenants, and service providers.
- Strong negotiation and relationship-management skills with tenants, brokers, attorneys, contractors, consultants, property managers, and other stakeholders.
- Advanced proficiency in Microsoft Excel and practical proficiency in PowerPoint, Word, and commercial real estate or accounting software.
- Ability to work accurately, independently, and accountably as part of a lean, collaborative team, with integrity, discretion, attention to detail, and responsiveness to changing priorities.
Minimum Qualifications:
- Minimum ten years of progressively responsible commercial real estate asset management, property management, or closely related experience.
- Bachelor's degree in real estate, business, finance, accounting, or a related field preferred; an equivalent combination of relevant education and experience will be considered.
- Demonstrated financial, operational, and leadership capability, including experience with budgets, forecasts, variance analysis, cash flow, lease economics, capital planning, and asset-level recommendations.
- Experience administering leases, CAM reconciliations, tenant improvements, capital projects, tenant matters, and third-party property management and vendor relationships.
- Advanced Excel skills and experience with commercial real estate, property management, or accounting software; MRI, Yardi, or comparable platform experience preferred.
- Demonstrated ability to lead work, improve processes, document procedures, and deliver accurate results with limited direction.
- Working knowledge of relevant local, state, and federal laws and regulations, and ability to pass required drug, credit, and background screening.
Working Conditions
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The Ena real estate team has a fast paced, multi-tasking, customer-service oriented environment. Although the standard work week is 40 hours, overtime will be required, and hours vary based on tenant emergency situations. Additionally, work priorities may change on short notice. Travel is required.
