The Service Coordinator is responsible for supporting the daily execution of service operations by coordinating technician schedules, managing service requests, and ensuring timely delivery of service work. This role serves as a key communication hub between customers, field technicians, and internal teams, ensuring work is properly scheduled, documented, and completed efficiently.

Working in a fast-paced, field-driven environment, the Service Coordinator ensures accurate dispatching, monitors job progress, and supports service delivery performance. Success in this role is measured by responsiveness, scheduling accuracy, customer satisfaction, and the ability to keep service operations running smoothly.

Requirements

Tasks may include, but are not limited to the following:

• Coordinate and schedule service calls, work orders, preventive maintenance, and emergency service requests
• Dispatch technicians based on skillset, availability, location, and job priority
• Serve as the primary point of contact for customers regarding service requests, scheduling, and status updates
• Maintain and update real-time scheduling tools, dispatch logs, and technician calendars
• Track service work orders from dispatch through completion, ensuring timely execution and closure
• Communicate technician ETAs, delays, and job status updates proactively to customers and internal teams
• Coordinate parts, materials, and equipment needs with warehouse and purchasing teams
• Monitor job progress and escalate scheduling conflicts, delays, or service issues as needed
• Ensure accurate documentation of work orders, labor, and job details for billing and job costing
• Assist in processing completed work orders and preparing billing documentation for review
• Support service agreement scheduling, renewals, and recurring maintenance coordination
• Monitor key service performance metrics (response time, completion rates, customer satisfaction) and support continuous process improvement

Required Knowledge, Skills, and Abilities:

• Strong dispatching and scheduling coordination skills within a service or field operations environ
• Excellent verbal communication and customer service skills, with the ability to remain composed under pressure
• Proficiency in service management/dispatch software (e.g., ServiceTrade, FieldEdge) and Microsoft Office Suite
• Ability to manage multiple competing priorities, urgent requests, and schedule changes in real time
• Working knowledge of electrical service operations, technician skill sets, and jobsite coordination preferred
• Strong attention to detail with a focus on accurate documentation, data entry, and follow-through
• Effective problem-solving skills with the ability to quickly adjust schedules and resolve conflicts
• Ability to collaborate with technicians, service managers, customers, and internal teams
• Basic understanding of work order lifecycle, billing readiness, and job costing processes preferred
• Strong organizational and time management skills in a fast-paced, high-volume environment

Education:

• High school diploma or GED required
• Associate’s degree in Business Administration, Construction Management, or a related field preferred
• Equivalent combination of education and relevant work experience will be considered in lieu of a degree

Certifications/Licenses:

• Valid driver’s license for occasional travel to job sites
• Industry-related certifications in service coordination, dispatching, or customer service are a plus
• Basic knowledge of safety standards (e.g., OSHA awareness) preferred

Experience Requirements:

• Minimum of 2–4 years of experience in service coordination, dispatching, scheduling, or administrative support within a field operations environment
• Experience supporting high-volume service operations with multiple technicians and concurrent work orders preferred
• Demonstrated experience coordinating schedules, dispatching resources, and managing real-time changes in a fast-paced environment
• Experience working with service management or dispatch software (e.g., ServiceTrade, FieldEdge, or similar systems)
• Experience in construction, electrical, mechanical, or service-based industries strongly preferred
• Proven ability to communicate effectively with field personnel, customers, and internal teams to support service delivery
• Experience supporting work order lifecycle processes, including documentation, tracking, and billing readiness preferred
