Project Manager – Water, Fire & Mold Mitigation
Position Summary
The Project Manager is responsible for managing restoration projects from the initial inspection through completion. This position serves as the primary point of contact for the customer, insurance professionals, subcontractors, and internal production team.
The Project Manager is responsible for ensuring each project is completed safely, efficiently, professionally, and profitably , while providing an exceptional customer experience and maintaining accurate documentation throughout the project.
Key Roles & Responsibilities
1. Initial Inspection & Job Assessment
- Respond promptly to new water, fire, smoke, mold, and other mitigation losses.
- Meet with the homeowner, property manager, or customer and determine how True North Restoration can assist.
- Inspect and document affected areas.
- Identify the source and cause of the loss when possible.
- Determine the extent of damage and the appropriate mitigation plan.
- Identify Category and Class of water damage when applicable.
- Determine affected materials and what can be cleaned, dried, restored, or needs removal.
- Take detailed photographs, videos, measurements, and notes.
- Identify potential safety hazards and communicate them to the customer and crew.
- Explain the mitigation process, expectations, and next steps to the customer.
2. Customer Communication & Experience
- Serve as the primary point of contact throughout the project.
- Communicate clearly and professionally with homeowners, property managers, adjusters, and other stakeholders.
- Set realistic expectations regarding timelines, drying, demolition, cleaning, contents, and reconstruction.
- Provide regular updates regarding project progress.
- Respond promptly to customer questions and concerns.
- Address customer complaints professionally and escalate issues when necessary.
- Maintain a high level of professionalism while working in customers' homes and businesses.
- Request customer feedback and assist in generating positive reviews when appropriate.
3. Project Planning & Production Management
- Develop a clear scope of work and mitigation plan.
- Coordinate Crew Chiefs, Lead Technicians, and technicians assigned to the project.
- Schedule labor, equipment, demolition, cleaning, and other required services.
- Ensure crews understand the scope of work and job expectations.
- Monitor job progress and make adjustments as conditions change.
- Conduct or coordinate daily job-site inspections as needed.
- Ensure work is completed according to company procedures and applicable IICRC standards.
- Confirm that affected materials are properly removed, cleaned, disinfected, or dried.
- Verify that drying equipment is properly placed and operating.
- Monitor moisture levels and drying progress.
- Determine when equipment can be removed based on documented drying conditions.
4. Water Mitigation Responsibilities
- Establish the appropriate drying strategy for each water loss.
- Monitor moisture readings and document drying progress.
- Ensure appropriate air movers, dehumidifiers, air scrubbers, and other equipment are deployed.
- Review equipment placement and adjust equipment as necessary.
- Coordinate demolition and removal of unsalvageable materials.
- Verify that drying goals have been achieved before completing mitigation.
- Ensure all moisture documentation is complete and accurate.
5. Fire & Smoke Mitigation Responsibilities
- Assess fire, smoke, soot, and odor damage.
- Develop an appropriate mitigation and cleaning plan.
- Coordinate emergency board-up, containment, demolition, cleaning, and contents handling when necessary.
- Ensure affected areas are properly cleaned and deodorized.
- Coordinate contents pack-out, cleaning, storage, and return when applicable.
- Communicate project status and expectations with the customer and insurance professionals.
6. Mold Mitigation Responsibilities
- Identify visible or suspected mold-affected areas.
- Establish appropriate containment and mitigation procedures.
- Coordinate proper removal of affected materials.
- Ensure appropriate containment, negative air, HEPA filtration, cleaning, and disposal procedures are followed.
- Document affected areas before, during, and after mitigation.
- Communicate clearly with the customer regarding the mitigation process.
- Coordinate with qualified environmental professionals when testing or additional assessment is required.
7. Documentation & Technology
- Maintain complete and accurate project documentation.
- Upload photographs, videos, moisture readings, notes, diagrams, and other required documentation.
- Maintain accurate job notes throughout the project.
- Keep project management software updated in real time or within company-required timelines.
- Ensure all required customer authorizations and paperwork are completed.
- Document changes in scope and obtain appropriate approvals.
- Maintain organized job files from beginning to completion.
8. Estimating & Financial Responsibility
- Prepare accurate estimates and scopes of work.
- Identify all billable work and materials.
- Document additional work discovered during the project.
- Communicate changes in scope before performing additional work whenever possible.
- Monitor project costs, labor, equipment, materials, and subcontractor expenses.
- Maintain awareness of job profitability.
- Work toward established gross-margin and P&L goals.
- Prevent unnecessary labor, equipment, material, and production costs.
- Review completed projects for profitability and identify opportunities for improvement.
9. Insurance & Adjuster Communication
- Communicate professionally with insurance adjusters, agents, property managers, and other third parties.
- Provide requested documentation in a timely manner.
- Explain the scope of mitigation work when necessary.
- Document changes in conditions and additional damages.
- Assist with obtaining approvals for necessary mitigation work.
- Maintain professional relationships with insurance and referral partners.
10. Crew Leadership & Accountability
- Provide clear direction to Crew Chiefs and technicians.
- Hold production staff accountable for quality, productivity, safety, and documentation.
- Ensure crews arrive on time and are prepared for the assigned work.
- Verify that vehicles and equipment are properly stocked and maintained.
- Ensure equipment is returned, cleaned, and accounted for after each project.
- Address performance issues promptly.
- Recognize strong performance and promote accountability within the team.
11. Job Completion & Closeout
- Conduct a final inspection of the project.
- Confirm the scope of mitigation work has been completed.
- Verify equipment has been removed and the property is left clean and orderly.
- Confirm required documentation is complete.
- Review the completed work with the customer.
- Obtain customer sign-off when required.
- Ensure all final photographs, moisture readings, notes, and documentation are uploaded.
- Communicate completion to the appropriate internal and external parties.
- Assist the office with final billing and collections when necessary.
- Identify reconstruction opportunities and coordinate the handoff to reconstruction services when applicable.
