Front Desk Receptionist

Position Summary: Our client is seeking a polished, professional, and highly organized Front Desk Receptionist to serve as the face of the organization. This individual will create a welcoming first impression while ensuring the office operates efficiently on a daily basis. The ideal candidate is proactive, customer-focused, bilingual in Spanish and English, and thrives in a fast-paced environment where no two days are the same.

Responsibilities:

• Welcome and assist visitors, clients, vendors, and guests in a professional manner
• Answer and direct incoming phone calls and emails
• Coordinate visitor check-in procedures and maintain front office security protocols
• Manage conference room scheduling and meeting preparation
• Coordinate with vendors for office services, deliveries, repairs, and maintenance
• Report and follow up on facility-related issues until resolved
• Order and maintain office and kitchen supplies
• Receive and distribute mail and packages
• Assist with administrative projects for multiple departments
• Maintain organized filing systems and office records
• Support office events and employee activities
• Ensure the reception area and common spaces remain organized and professional at all times

Qualifications:

• Fluent in both Spanish and English (required)
• 3+ years of front office, receptionist, administrative, or office management experience
• Excellent verbal and written communication skills
• Professional appearance and customer service mindset
• Strong organizational and multitasking abilities
• Proficiency in Microsoft Office (Outlook, Word, Excel)
• Ability to prioritize competing tasks while maintaining attention to detail
• Experience coordinating vendors or facilities is highly preferred
