As a specialist of Client Relations, Customer Service & Business Development, you will be responsible for engaging with clients, managing inquiries, assisting with document submissions, coordinating tax and accounting tasks with internal teams, and supporting the firm’s business development and marketing activities. This role requires strong communication skills, attention to detail, relationship-building abilities, and the ability to handle multiple tasks efficiently.

Key Responsibilities:

• Call and follow up with new leads and prospective clients to introduce the firm’s services and schedule consultations.
• Serve as the first point of contact for clients, providing professional and courteous service.
• Call and engage with existing and new clients daily to provide assistance, maintain strong relationships, identify additional service needs, and generate referrals.
• Assist clients with uploading tax and accounting documents and ensure all required paperwork is submitted correctly.
• Answer client inquiries via phone, email, and in person, addressing concerns and providing accurate information.
• Assign client work to the operations team and track progress to ensure timely completion of accounting and tax services.
• Follow up with clients regarding pending documents, outstanding invoices, payments, and service updates.
• Assist with invoicing and payment follow-ups to ensure timely collections.
• Support business development by contacting potential clients, following up with leads, and helping convert inquiries into new clients.
• Promote the CPA firm and its tax, accounting, payroll, bookkeeping, and other professional services to individuals and businesses.
• Participate in local business events, community events, expos, and networking programs to promote the firm.
• Assist with setting up and managing promotional stalls or booths at local events, interact with attendees, distribute marketing materials, and collect prospective client information.
• Follow up with leads generated through events, referrals, advertising, marketing campaigns, and other sources.
• Work closely with internal teams to ensure smooth workflow coordination and on-time project completion.
• Maintain accurate client and lead records in the system and update information as needed.
• Provide basic guidance regarding firm services and direct clients to the appropriate team members for complex tax or accounting inquiries.
• Assist management with local marketing and client acquisition activities to help grow the firm’s client base and revenue.

Qualifications & Skills:

• Experience in customer service, client relations, business development, sales, marketing, or administrative roles, preferably in a CPA, tax, accounting, or financial services firm.
• Strong verbal and written communication skills with a professional demeanor.
• Comfortable making daily outbound calls to leads, prospective clients, and existing clients.
• Strong client relationship-building and follow-up skills.
• Excellent organizational and multitasking abilities.
• Ability to work efficiently in a fast-paced office environment.
• Ability to coordinate work between clients and internal accounting and tax teams.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and CRM software is a plus.
• A positive attitude, professional appearance, and problem-solving mindset.
• Willingness to participate in local events, networking activities, and business development efforts.

Work Environment:

• Office-based role in Artesia, CA (not remote).
• The position involves daily phone calls and in-person interactions with clients.
• The role includes regular lead follow-ups, client relationship management, and business development activities.
• Occasional participation in local community events, business events, expos, and promotional stalls may be required to market the CPA firm and generate new clients.

We are seeking an experienced Director of Tax & Accounting to lead and oversee the Tax and Accounting Departments of our growing CPA firm. This is a senior leadership position responsible for managing and reviewing work performed by both our US office and back office teams.

The ideal candidate will have at least 10 years of strong US tax and accounting experience with extensive knowledge of individual partnership S Corporation and C Corporation tax returns. The candidate should also have strong experience in US GAAP bookkeeping financial statement preparation QuickBooks Online and QuickBooks Desktop.

The Director will manage department workflow assign work to team members review tax returns and accounting work monitor deadlines ensure quality standards and oversee the performance of accountants tax preparers and back office staff.

The position requires someone who can take ownership of department operations communicate directly with clients resolve tax and accounting issues and make day to day decisions independently.

CPA or Enrolled Agent is strongly preferred.
Qualifications and Leadership Requirements

• Minimum 10 years of strong US tax and accounting experience preferred

• Strong experience preparing and reviewing individual partnership S Corporation and C Corporation tax returns

• Strong knowledge of US GAAP accounting bookkeeping and financial statement preparation

• Strong QuickBooks Online and QuickBooks Desktop experience

• Proven experience managing and supervising Tax and Accounting Departments

• Manage and oversee Tax and Accounting operations performed by both the US office and back office teams

• Assign and coordinate work between US staff and back office staff based on experience workload and deadlines

• Review tax returns bookkeeping accounting financial statements reconciliations and other work completed by the US office and back office teams

• Monitor daily workflow and project status across both offices and make sure assignments are moving forward

• Ensure work completed by the back office meets US accounting tax and firm quality standards before delivery to clients

• Review staff productivity quality of work turnaround time and pending assignments

• Identify errors incomplete work and delays and take appropriate corrective action

• Conduct regular meetings with Tax and Accounting teams and follow up on pending work

• Train guide and mentor accountants tax preparers bookkeepers and other department staff

• Establish and maintain quality control procedures for Tax and Accounting Departments

• Communicate directly with clients regarding tax accounting financial matters and missing information when necessary

• Take ownership of Tax and Accounting Department operations and make routine operational and technical decisions independently

• Escalate significant technical tax client or compliance matters to the CEO when necessary
