The Reconciliation Coordinator is responsible for managing all aspects of reconciling Gillmore Security installations. This includes ensuring that each project is completed according to its scope, identifying and resolving any variances, issuing change orders as necessary, and maintaining the Installation Forecast.

The goal of this position is to achieve the highest level of customer satisfaction by ensuring accurate and timely project completion, maintaining outstanding communication with clients and internal teams, and consistently delivering a precise and reliable Installation Forecast

Duties and Responsibilities

• Reconcile job paperwork to account for labor and equipment used, identifying and addressing any discrepancies in a timely manner.
• Validate activations and zones in the Central Station and/or with outside vendors, confirming proper application activation.
• Maintain and manage the monthly Installation Forecast to ensure accurate planning and resource allocation.
• Address all punch list items quickly and efficiently to maintain project timelines
• Obtain purchase orders from the project managers and update the job
• Provide back up phone assistance to the Billing Department as needed
• Oversee multiple projects simultaneously, ensuring deadlines and quality standards are met.
• Collaborate with the Installation Manager to achieve departmental goals and objectives.
• Cater to client needs while upholding and enhancing the company’s reputation.
• Enforce quality control measures to ensure consistent service delivery.
• Communicate effectively with other departments to coordinate activities and resolve issues.
• Assist with other functions within the billing department as needed.

Qualifications

These are the qualifications that are necessary for someone to be considered for the position.

• Minimum of 5 years in the alarm/security industry, with both residential and commercial experience.
• Hands-on experience with burglar alarms, access control, fire alarm systems, CCTV, and IP/network video.
• Proficiency with DMP, Honeywell Intrusion, Axis Video, Milestone, and Elk Systems.
• Ability to read and interpret construction documentation and blueprints.
• Comfortable using smartphones, tablets, apps, and strong computer proficiency in Microsoft Outlook, Word, and Excel.
• Must have and maintain a clean driving record.
• Ability to multi-task in a dynamic, fast-paced environment with adaptability and reliability.
• Strong verbal and written communication skills; open, cooperative, and team-oriented attitude.
• ·trong organizational skills, independent judgment, and problem-solving ability.
• Minimum of a high school diploma (or equivalent).

Working Conditions/Physical Requirements

• Ability to work 40 hours per week as required, including occasional overtime.
• Standard office environment with moderate noise levels.
• Prolonged sitting and extended use of a computer/monitor.
• Vision requirements include close vision, distance vision, color vision, and the ability to adjust focus
• Must have the ability to lift up to 40 pounds.
