Accounting Specialist

The Accounting Specialist will be responsible for managing the full-cycle accounts payable process — from invoice entry to payment — while working closely with our operations and events teams. This individual would also help support the accounts receivable process, as needed, to ensure timely billing and collection from customers. This role requires precision, time management, and a solid understanding of accounting principles. Key Responsibilities: Process high volumes of vendor invoices in Bill.com, ensuring timely approvals and coding aligned with event or departmental budgets Perform three-way matching (invoice, purchase order, delivery receipt) when applicable Manage weekly payment runs and ensure timely, accurate payments via Bill.com (ACH, checks, wires) Reconcile vendor statements and follow up on outstanding items Maintain and update vendor records, including W-9s and payment terms Assist with event costing by ensuring invoices are correctly coded to client jobs in NetSuite Respond to vendor inquiries professionally and resolve discrepancies Assist with customer invoicing process Assist with month-end close: accruals, reconciliations, employee purchasing cards, and reporting Support the finance team during audits or with ad hoc financial analysis Identify and suggest process improvements for accounting workflows Proactively identify pricing issues and discrepancies Qualifications: Associate’s or Bachelor’s degree in Accounting, Finance, or Business preferred; relevant work experience accepted in lieu of degree. 3-5 years of experience in various accounting functions. Strong skills in accounts payable analysis, including the ability to identify trends in spending, track aging payables, and support cash flow planning. Proficiency in Bill.com, NetSuite and Microsoft Excel. Excellent organizational skills and keen attention to detail. Strong problem-solving abilities and initiative to follow through on issues. Effective interpersonal and communication skills, with the ability to interact professionally withvendors and internal teams. Understanding of sales/use tax implications on vendor purchases.
