Position Overview

We are seeking an organized, detail-oriented Order Management / Sales Operations Coordinator to support the full lifecycle of customer orders, from initial quote and contract review through delivery and ongoing account support.

This person will work closely with Sales, Operations, Logistics, and customers to ensure orders are entered accurately, contracts and purchase orders are aligned, deliveries stay on schedule, and customers receive timely communication throughout the process.

Key Responsibilities

Order Processing & Contract Review | 30%

• Review customer agreements to verify contract terms, pricing, and compliance.
• Enter and manage technical/product orders within internal databases and ERP systems.
• Send formal order acknowledgments confirming order details, pricing, and receipt.
• Process amendments and modifications to active orders.
• Coordinate changes across internal departments and maintain accurate order records.

Logistics & Delivery Coordination | 20%

• Review incoming purchase orders against original quotes, agreements, and applicable requirements.
• Coordinate delivery schedules across internal teams, operations, logistics, and customers.
• Monitor shipments and transportation activities to support accurate, on-time delivery.
• Help identify and address order or delivery issues before they impact the customer.

Sales Support & Pipeline Management | 20%

• Partner with Sales Process Coordinators and sales teams to route, process, and track pending quotes and RFPs.
• Process customer quote approvals and transition accepted quotes into active technical orders.
• Identify potential product upsell or cross-sell opportunities during customer interactions.

Customer Communication & Account Support | 30%

• Serve as a point of contact for customer questions regarding orders, pricing, delivery dates, and tracking.
• Resolve order-related issues and communicate updates to customers in a timely manner.
• Partner with Sales, Operations, and Logistics to streamline fulfillment and improve the customer experience.
• Maintain detailed records of customer interactions, order changes, feedback, and support requests within internal databases and CRM systems.

Qualifications

• Experience in order management, sales operations, customer service, logistics coordination, contract administration, or a similar role.
• Strong attention to detail, especially when reviewing pricing, contracts, purchase orders, and order documentation.
• Experience working with ERP, CRM, order management, or internal database systems.
• Ability to manage multiple customer orders and priorities simultaneously.
• Strong written and verbal communication skills.
• Comfortable working cross-functionally with Sales, Operations, Logistics, and customer-facing teams.
• Strong organizational and problem-solving skills.
• Experience coordinating product shipments or delivery timelines is preferred.
• Experience supporting quotes, RFPs, purchase orders, or contract amendments is preferred.
