The Intake Specialist I is responsible for providing procedural information, documents and forms related to family and hands‑on assistance to self‑represented litigants. This position is required to conduct interviews and assist parties with the preparation and completion of family law forms by explaining process and procedures, and notarizing family court documents. The Intake Specialist I position is responsible for performing case screenings, case intake and case coordination for family law cases. Work involves the use of Unified Family Court practices and the support of case management techniques to promote case progression and case disposition. The Intake Specialist I position is required to handle a high volume of public and professional inquiries, manage intake appointments, schedule case events and use/manage a multi‑line telephone system. Work is performed in a team setting, as well as on an individual basis and is performed under the supervision of the Family Court Services Program Coordinator and the Family/Civil Division Director. The core functions of this position are: 1) Assist self‑represented litigants, 2) Perform case screenings and research, 3) Provide quality customer service, 4) Provide clerical and administrative support and 5) Other duties as assigned. ESSENTIAL DUTIES AND RESPONSIBILITIES The following duties are normal for this position. (1) Assist self‑represented litigants Interview litigants and assist parties with the completion of family law forms; Verify case related information, perform case research, and schedule hearings; Notarize documents; Schedule, manage, and maintain intake appointments on a rotating calendar; Assist self‑represented litigants in a neutral and discrete manner; Provide quality customer assistance and maintain confidentiality at all times; Provide general information pertaining to family law process and procedure and other court programs, as well as community resources related thereto. (2) Perform case screenings and research Perform case and party research in applicable databases; Compile court information and prepare case related memorandums as necessary; Conduct interviews with self‑represented litigants; Calendar case management conferences; Provide initial "case plan" to clients which outlines case management timelines for their case; Identify cases appropriate for Unified Family Court. (3) Provide quality customer service Perform front desk customer service responsibilities; Assist self‑represented litigants; Answer a multi‑line telephone and assist with a high volume of public and professional inquiries, while maintaining quality customer service; Provide family law processes and procedures in a clear and concise manner. (4) Provide clerical and administrative support Perform accurate data entry; Prepare and disseminate mail including the processing of returned mail; Fax, file, scan, email and copy documents; Deliver and receive court documents. (5) Other duties as assigned Additional duties as assigned. QUALIFICATIONS To perform in this position successfully an individual must be able to perform the essential duties and responsibilities satisfactorily. Knowledge of: Methods, practices, principles, procedures, and techniques used in interviewing litigants as it pertains to the operation of the department; Local, state, and federal guidelines, rules, regulations, and statutes as they pertain to family law; Basic structure of the Court and Criminal Justice System; Computer applications, including but not limited to: Odyssey, Microsoft Word, Outlook and Excel. Ability to: Work well under pressure, multi‑task, and meet established timelines and goals; Deal effectively and professionally in stressful situations with potential for a high volume of both public and professional inquiries and case intake; Exhibit sound judgment and use discretion; Maintain State of Florida Notary Public certification; Communicate thoughts and ideas effectively both orally and in written word to individuals with various levels of education and experience; Effectively interpret general policy, criteria, and procedures for cases related to family law; Follow both written and oral instructions and procedures; Develop and maintain good working relationships with local law enforcement, judges, attorneys, government agencies, court personnel, and community agencies; Utilize Microsoft Office Word, Outlook, Excel, and other applicable databases; Type 35 correct words per minute; Provide effective, accurate, professional, polite, friendly, and prompt customer service to the public and other agency personnel, AOC employees, and the Judiciary; Write, speak audibly, clearly and accurately in a diverse environment; To travel throughout the 20th Circuit and the State of Florida to participate in conferences and meetings as assigned is required; Maintain consistent and regular attendance, which is required. EDUCATION and/or EXPERIENCE Graduation from a high school or a GED. An Associates degree (or 60 hours of credit earned toward a Bachelors degree) from an accredited college or university in a related field such as Psychology, Sociology, or Criminal Justice. Family law experience strongly preferred. CERTIFICATES, LICENSES, REGISTRATIONS State of Florida Notary Public certification is required (within 30 days of hire).
