Administrative Assistant to Superintendent

Job Title

An employee in this position provides top level office support by performing a large variety of complex duties reaching into most parts of the organization. Most actions are directed by the general policies and precedents of the system or by own judgment. The employee is expected to devise methods to produce the anticipated results. The work requires a high degree of resourcefulness. Within the limits of the employee's assign authority, the employee is expected to analyze and resolve problems independently, or on rare occasions consult with higher authority on matters that may have wide reaching impact. Unusual situations arise with some frequency requiring discretionary judgment, analysis and independent action. Employee also performs other special projects as assigned by the Superintendent.

Duties And Responsibilities

Identifies sources of a variety of information, prepares comprehensive reports, abstracts of factual data or speeches and documents.

Prepares documents for budget and expenditure purposes.

Prepares written directives of application of policy or procedural processes.

Reviews and ensures accuracy of outgoing correspondence, records and/or reports of complex procedural or program activities.

Performs other related work as required.

Minimum Training

Associate's degree preferred with 3-5 years of clerical or office support experience; or an equivalent combination of experience and training.

Essential Job Functions

Must be able to use a variety of automated office equipment such as computers, copiers, typewriters, calculators, etc. Must be able to exert a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

Requires ability to speak and/or signal people to convey or exchange information.

Requires the ability to read a variety of correspondence, reports, handbooks, forms, lists, etc.

Requires the ability to apply rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions. Must be able to communicate effectively and efficiently in standard English.

Working knowledge of accounting techniques and procedures.

Ability to plan and organize work activities.
