Administrative Assistant(Academics and Accountability Department) JobID: 5048 Position Type: Secretarial / Clerical / Administrative Date Posted: 7/8/2026 Date Available: ASAP Job Description Position Title : Administrative Assistant(Academics & Accountability Department) Position Hours: Full-time; Monday – Friday Length of Term/Employment: 223 days/ At-will Reports to: Executive Director of Academics & Accountability Position Mission: To ensure the efficient operation of the Academic's department, provide clerical services for the department staff, and manage department's finance, and budget accounts. Position Minimum Qualifications: Education/Certification: A high school diploma or GED preferred, Associates Degree and bilingual preferred. Applicant must have satisfactory outcome of fingerprinting background check. Pass a typing test for 35 words per minute. Intermediate proficiency in Microsoft Excel. Special Knowledge/Skills: Possess excellent interpersonal and communication skills. Ability to work as a team member to work in conjunction with the district department accounting staff. Ability to follow oral and written instructions. Ability to work with limited supervision. Experience: Three years of work-related experience. Work history demonstrating customer service, telephone etiquette, and adherence to efficient and effective office management procedures. Job Duties: Customer Service: Answer department calls and/or emails Manages Executive Director calendar and/or email, as requested Purchasing: Requisition review and submission. Coordinate department travel accommodations and prepare requisitions for: meeting registration fees, hotel, fuel, vehicle, and per diem upon return. Coordinate district PD and prepare requisitions for: meting spaces, food, entertainment, etc Budget Management: Local Funds transfers. Produce Local Fund balance reports. Monitor Title funds. Office Equipment: Purchase office supplies. Monitor and order equipment. Report office infrastructure issues to Technology Department. Time Clock: Manage, Monitor, Edit, and Approve Weekly. New employee paperwork. Worker's comp oversight, i.e. Accident Reporting. Monthly board reports of campus gains, losses, absences, and staff absenteeism. Other: Perform district ofront office coverage duties as directed by administration. Attend professional growth activities. Other duties as assigned. Illustrate understanding of Charter and community needs and begin activities to meet those needs. Demonstrate use of productive and efficient skills to raise community and parent involvement. Working Conditions: Maintain emotional control under stress; work with frequent interruptions/deadlines; prolonged sitting, and frequent standing, walking, climbing, pulling and pushing, reaching, and stretching.
