Executive Assistant - Legal Risk Management - Ave North

$29.22 - $43.83 per hour

ChristianaCare is looking for a full‑time Executive Assistant to provide executive‑level administrative support to the Deputy General Counsel and VP, Risk Management. The assistant will coordinate the overall endeavors of the Department of Legal/Risk Management, ensuring confidentiality and serving as the primary point of contact for internal and external interactions. Responsibilities include scheduling, calendar management, meeting coordination, drafting correspondence, managing filing systems, and supporting special projects. Special requirements High emotional intelligence Excellent interpersonal skills Management of highly confidential information High level of organizational skill in office management Excellent writing ability Collegial work style Excellent diplomatic skills and ability to be discreet; excellent judgment Self‑starter personality; able to function with minimal supervision Capacity to work in a fast‑paced environment Respond appropriately to sensitive and sometimes controversial matters Skill in the use of Microsoft Office software Skill in use of internet search engines Skill maintaining accurate filing systems Principal duties and responsibilities Provide support to the Deputy General Counsel and VP: attend meetings, take and type minutes, compose agenda, draft and type correspondence, schedule meetings, maintain filing systems, screen calls and take messages. Schedule and manage calendars for attorneys and risk managers using email calendar system; anticipate needs and ensure preparedness. Research, compile and analyze information to support executive decision-making. Coordinate and lead special projects. Prepare comprehensive reports, presentations, and other documents. Serve as a liaison between VP and internal/external partners. Coordinate and schedule depositions, including coordination with outside counsel, opposing counsel, and witnesses. Screen correspondence/mail, sort and prioritize items for attorney and manager attention. Greet visitors, ascertain nature of business, and escort or direct visitors to appropriate individuals. Schedule and manage complex calendars; arrange meetings, notify attendees, reserve rooms, arrange meals and refreshments, equipment, and other support materials. Prepare requisitions, maintain supply inventory and materials, check receipts for incoming materials, and process invoices for payment. Make travel reservations, order tickets, confirm lodging and airline reservations, and prepare travel advance and expense reports. Maintain time and attendance information for the department including timekeeping for payroll. Support invoicing process through Bottomline platform; work with outside law firms; review and resolve invoicing questions. Audit and maintain monthly budget sheets for accuracy. Maintain supply inventory, ordering and updating as needed. Perform assigned work safely, adhering to departmental safety rules; report unsafe activities or conditions. Perform other related duties as required. Hours Day Shift 8 a.m. – 4:30 p.m. Education and experience requirements High School diploma or equivalent required. Completion of a program in secretarial science or related field preferred. Four years clerical or secretarial experience. Experience working in a legal environment is preferred.
