Project ManagerThe Immigrant Legal Resource Center (ILRC) is seeking a full-time Project Manager in our San Francisco, CA headquarters. This is an exempt position that reports to a Directing Attorney. This is a bargaining unit position represented by the National Legal Services Workers (NOLSW), Local 2320. This is a term-limited position through December 31, 2028, with the potential for renewal based on funding.The ILRC currently has a hybrid work model requiring two in-office days per week.The ILRC is a leading immigrant rights organization headquartered in San Francisco with staff in Washington, D.C., Texas, Southern California, the Central Valley of California, and Washington state. Our team is passionate, collaborative, and committed to equity and innovation in all we do.The Project Manager's primary goals are to ensure efficient and effective overall administration and management of a robust statewide program for which the ILRC serves as Program Administrator. The Project Manager will be responsible for coordination of regional partners, dissemination of information and resources, tracking and ensuring timely reporting and fiscal management, and maintaining effective communication systems.Specific duties of this position include, but are not limited to:Serve as primary point of contact for partners' program managers, grant managers, and funders of specific programsMaintain current understanding of program goals and initiatives, focus areas, successes, and overall results to timely communicate to partners, funders, and other stakeholders effectivelyEngage proactively with partners on an ongoing basis to ensure accountability and timely completion and reporting of grant deliverables and program goalsMonitor program progress on a regular basis and facilitate timely provision of necessary technical assistance to support partners in meeting their goals and fulfilling their reporting requirementsEnsure internal ILRC coordination of various program components and alignment with other relevant ILRC projectsParticipate in strategic planning discussions to ensure the program is responsive to community needs and leverages available resources and servicesPlan and facilitate virtual and in-person events such as program meetings with partners and large scale conveningsParticipate in regular remote and in-person funder meetingsDocument meetings, decisions, and processes and maintain program files, including partner FAQsEngage ILRC programmatic staff to provide trainings or generate resources on identified topics and support tracking for program-specific technical assistance and training including webinars, trainings, written resources, and partner callsManage and administer subgranting:Execute and maintain partner subgranting documents from drafting through execution, including scope of work, budget, and reporting formsServe as a primary point of contact for communication between the ILRC, funders, and partner program managers and grant managers; triage and follow up on conversations as necessaryWork collaboratively with finance and administrative teams to execute timely subgrant agreements and ensure payments to partners on schedule and within budgetMaintain and update project directories and listservsCollect, track, review, analyze, and approve partner invoices and expense reportsFacilitate and track subgrantee budget modificationsMaintain, meet, and track deadlinesManage reporting:Train and onboard partners on reporting requirements including Salesforce-based reporting portalProvide technical assistance on reporting issues including qualifying deliverables and reporting portal usageRun and provide deliverables reports as requestedCommunicate with partners about reporting requirementsManage the collection and analysis of quantitative and qualitative dataWork collaboratively with internal IT team and data consultant to support the design and development of reporting portals, including technical troubleshooting and serving as main point of contact for developersAggregate data and draft and ensure timely submission of reporting to fundersServe as liaison for communicating data and findings to funders and internal ILRC teamsQualifications:Preferably have previous experience working with or in government agenciesHave program management experience, preferably related to grants compliance and administrationFive to eight years of relevant experiencePreferably have a bachelor's degreeBe passionate about immigrant rightsHave advanced aptitude for complex data analysis and experience managing and analyzing large data setsHave advanced Excel skills including usage of and experience creating formulas, graphs and pivot tables as well as some knowledge of data visualization principles and toolsHave a strong knowledge of Microsoft 365 products including Excel, SharePoint, Word and PowerPointHave excellent oral and written communication skills, including strong facilitation skills and presentation skills, report writing skills, and the ability to communicate complex data, findings, and ideas clearlyExperience designing and managing events and other opportunities that promote learningExperience working in databases; Salesforce experience in particular is a plusExperience managing large and complex projects. Holding a PM certification is a plusHave the ability to collaborate cross-departmentally; appreciate working as part of a team; be able to problem solve; and enjoy the initial building phase of a new projectKeen attention to detailRecognizes ways that race and ethnicity, gender, and other identities intersect in the communities that we serveGrowth mindset and commitment to gathering feedback to inform improvementsFlexibility, adaptability, and the ability to prioritize and juggle multiple streams of work at onceBe able to travel throughout the state of California at least once a month; andSupport the organization in other duties as assigned.Compensation/Benefits:Pay is commensurate with experience, with an expected range between $108,000 - $116,000 annually. The ILRC offers excellent benefits, medical/dental/vision insurance, EAP sessions, a flexible spending account for medical and dependent care, vacation, and sick leave. The ILRC also sponsors a retirement plan option upon fulfillment of eligibility. Additionally, we offer an annual professional development stipend of $2,500 and from 2025 – 2027, an annual wellness stipend of $2,500. ILRC also offers a sabbatical program: employees are eligible to apply for an 8-week sabbatical after five years of service and a 12-week sabbatical after ten years of service.Applications:The position will remain open until September 30, 2026.
