Dental Office Manager – Leadership & Multi-Location Growth

Job Summary

Dental Lyfe Studio – Your Dental Home is seeking an experienced Dental Office Manager to lead daily operations, team performance, patient experience, and practice growth.

This is a hands-on leadership position for someone who understands how a successful dental practice operates, including team leadership, scheduling, treatment coordination, collections, insurance workflows, patient experience, and operational accountability.

5+ years of dental-office experience is required. Experience as a Dental Office Manager, Assistant Manager, Front Office Lead, Senior Treatment Coordinator, or comparable dental leadership role is strongly preferred.

Responsibilities

• Lead daily practice operations and efficient front- and back-office workflows
• Manage, coach, train, schedule, and hold team members accountable
• Lead daily huddles and ensure priorities and follow-ups are completed
• Maintain productive doctor and hygiene schedules and minimize openings
• Monitor treatment follow-up, case acceptance, unscheduled treatment, recall, and reactivation
• Oversee patient financial coordination, collections, balances, and financing workflows
• Ensure accurate PPO and Medi-Cal Dental benefit verification and treatment estimates
• Monitor patient experience and professionally resolve concerns
• Track KPIs to improve production, collections, scheduling, retention, and efficiency
• Maintain accurate systems and workflows in CareStack and CareRevenue
• Coordinate with doctors, clinical staff, leadership, and revenue-cycle partners
• Support recruiting, onboarding, training, performance management, and team development
• Implement consistent policies, systems, workflows, and accountability standards
• Help develop scalable systems as the organization grows

Qualifications

• 5+ years of dental-office experience REQUIRED
• Dental management, assistant management, or team-lead experience strongly preferred
• Proven ability to lead, coach, and hold a team accountable
• Strong knowledge of dental scheduling, treatment coordination, collections, and patient finances
• Knowledge of PPO dental insurance, benefit verification, and treatment estimates
• Understanding of dental terminology, procedures, CDT codes, and treatment sequencing
• Dental PMS experience required; CareStack or Denticon highly valued
• Strong communication, organization, problem-solving, and follow-through
• Comfortable being accountable to measurable practice goals
• Bilingual English/Spanish strongly preferred
