Every call, case, citation, fingerprint, and police report creates information that matters. As a Records Clerk with the Sandy Springs Police Department , you’ll help make sure that information is accurate, organized, secure, and available when it’s needed.
This is more than a traditional clerical role. You’ll be part of the team that supports the department’s officers, investigators, prosecutors, partner law enforcement agencies, and the community by keeping critical records moving from report to resolution.
From processing police reports and citations to responding to Open Records requests and conducting criminal history checks, you’ll work with a variety of systems, people, and information every day. You’ll need a sharp eye for detail, strong customer service skills, and the ability to handle sensitive information with discretion.

What You’ll Do- Serve as an important administrative resource for the Sandy Springs Police Department and its personnel.
- Retrieve, review, process, and maintain police reports, citations, case files, and related records.
- Use local and national databases and the department’s records management system to enter, retrieve, verify, and update information.
- Review officer reports and code records in accordance with National Incident-Based Reporting System (NIBRS) requirements.
- Process criminal history requests using LiveScan fingerprint equipment and GCIC/NCIC systems.
- Verify identities, ensure accurate data entry, and capture fingerprints.
- Respond to Georgia Open Records Act requests and assist with providing records to members of the public.
- Prepare invoices for open records and criminal history requests and process associated payments.
- Assist with criminal background checks and the collection, review, and dissemination of information.
- Work with state and local law enforcement agencies to validate records and ensure case files are complete.
- Prepare and maintain accurate files, logs, records, and other documentation.
- Protect confidential and sensitive information and follow applicable laws, regulations, and department procedures.
- Respond to phone calls, emails, service requests, and in-person inquiries from employees, law enforcement personnel, agencies, and members of the public.
- Answer questions, address concerns, and provide information in a courteous, professional manner.
- Identify discrepancies or incomplete information and take appropriate action to resolve them.
- Perform other related duties as assigned.
- Secondary education in Business Administration or a related field.
- Three (3) years of administrative experience.
- Two (2) years of customer service experience.
- Must be a U.S. citizen or able to provide documentation establishing legal authorization to work in the United States.
- Valid Georgia driver's license and a good driving history.
- Ability to successfully pass the Georgia Crime Information Center (GCIC) certification test.
- Ability to understand and follow detailed oral and written instructions.
- Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat.
- Ability to maintain organized, accurate, and confidential records and files.
- Bachelor's degree in Business Administration, Criminal Justice, or a related field.
- Two (2) years of law enforcement operations experience.
- Knowledge of the Georgia Open Records Act and/or FOIA requests.
- Specialized training or coursework related to law enforcement or Municipal Court operations.
- GCIC Operator Certification.
- Notary Public designation or ability to obtain.

Tech-Savvy: You’re comfortable working across multiple databases and computer systems and can learn specialized systems and equipment, including LiveScan fingerprint technology and law enforcement information systems.
Trustworthy: You’ll regularly work with confidential and sensitive information. Discretion, sound judgment, and respect for privacy are essential.
Clear Communicator: You can explain information clearly, follow detailed instructions, and communicate effectively with people who may have very different needs and backgrounds.
Problem-Solver: When something doesn’t look right or a record is incomplete, you don’t just move on. You know how to investigate the issue, follow established procedures, and determine the appropriate next step.
