All Seasons Foods is seeking a dependable, organized, and highly communicative Administrative & School Food Program Coordinator to support the daily operations of our school food-service programs. This position is ideal for someone who enjoys working with people, managing multiple priorities, communicating with school communities, and keeping administrative details organized.

Position Overview

The Administrative & School Food Program Coordinator serves as an important link between All Seasons Foods, school administrators, food-service teams, parents, students, and the community.

This role requires someone who can work independently, prioritize competing deadlines, communicate professionally, and step in wherever needed to keep school food programs operating smoothly.

Key Responsibilities

Administrative Coordination

• Coordinate daily administrative responsibilities for multiple school food programs.
• Run Sales Tracking and PNL
• Maintain schedules, records, pricing information, menus, forms, and program documentation.
• Monitor email communications and respond to schools, parents, staff, and vendors in a timely and professional manner.
• Track requests, issues, deadlines, and follow-up items to ensure they are resolved.
• Assist with special projects and operational needs as assigned.
• Invoicing and tracking experience a must.

School & Parent Communication

• Serve as a primary point of contact for school administrators and families regarding food-service programs.
• Prepare professional parent communications, announcements, notices, and informational materials.
• Communicate menu changes, pricing information, ordering procedures, account information, and special events.
• Build and maintain positive working relationships with school personnel.

Menu & Program Support

• Assist with uploading school menus and updating exisiting emails to schools with info.
• Coordinate menu information across multiple campuses.
• Maintain accurate pricing and product information.
• Assist with preorder processes and special food-service programs.
• Help identify and communicate operational issues affecting students, families, or school staff.

Marketing & Community Outreach

• Create flyers, promotional materials, announcements, and other communications for school food programs.
• Assist with promoting lunch, catering, special events, Food Holiday and seasonal offerings.
• Develop creative ways to increase awareness and participation in food-service programs.
• Support community and school events re: open houses.

Operations Support

• Communicate with onsite food-service managers and school personnel regarding staffing, scheduling, equipment, food-service, and operational concerns.
• Help coordinate solutions when unexpected issues arise.
• Travel to school locations when necessary to support programs and resolve operational needs.
• Assist management with special projects and program implementation.
• This is a Hybrid position. You should have reliable home internet and computer/laptop and be available if/when needed to help onsite at various locations. Summers you will be required to be in the office which is based in Deland.

Qualifications

• Strong administrative and organizational skills.
• Typing skills of 50WPM minimum
• Must have personal cell phone that can be used for business, it must be operational at all times.
• Strong PC/Laptop and home internet
• Excellent written and verbal communication skills.
• Professional, friendly, and service-oriented demeanor.
• Ability to manage multiple campuses, deadlines, and priorities simultaneously.
• Strong attention to detail and accuracy.
• Proficiency with email, Microsoft Office, Google Workspace, and/or similar administrative software.
• Ability to create professional documents, flyers, and communications.
• Ability to work independently while also collaborating with school and food-service teams.
• Previous administrative, customer service, marketing, education, hospitality, food service, or operations experience required.
• Previous commercial cooking experience required.
• This is not a typical 9-5 position. You should have the ability to adapt to when parents, staff and upper management need you.

Schedule & Compensation

Position: Administrative & School Food Program Coordinator
Employment Type: Full-Time
Schedule: Monday–Friday, with occasional flexibility for school events or operational needs
Location: Multiple school locations / administrative office as required
Compensation: Competitive and commensurate with experience
