Position Summary We have an exciting opportunity to join our team as a Project Assistant. We are developing two cohorts: (1) a diverse cohort focused on the microbiome, and (2) an Asian American, Native Hawaiian, and Pacific Islander (AsA-NHPI) cohort. The Project Assistant will be responsible for daily study operations, reporting directly to the Research Coordinator. The NYU FAMiLI Study is designed to improve our understanding of the role of the human microbiome in health and disease. The study will also serve as a critical NYU biorepository resource for research on the human microbiome. Towards this goal, the FAMiLI Study aims to build a large cohort by recruiting participants nationwide using online resources, advertising, and community outreach. Participants are provided a kit containing two questionnaires, a mouth wash collection kit, and a stool sample collection kit to complete at home. The NYU MOSAAIC Study is the first national epidemiologic cohort of AsA-NHPI participants. The study aims to close the research gap on previously understudied AsA-NHPI populations, and learn what factors impact health and disease in AsA-NHPI populations, with a particular focus on cardiovascular health. Participants will be asked to come to NYULH for a physical exam, complete a survey, and provide biospecimens. Job Responsibilities Moderate Clerical Functions Completes petty cash vouchers and obtain necessary signatures, obtain petty cash, prepares payments and check requests for payments to vendors as needed. May provide messenger services for the Department. Word Processing/Typing Prepares and proofreads memos, reports and applications. Independently prepares responses to routine correspondence. Develops documents for presentation or meeting. Scheduling and Coordinating Maintains routine calendar, schedules appointments, assist in preparing for conferences (checking the logistics and technical support, ordering and setting up food, etc.) and other related duties. May assists with special events planning. Filing and Mail Distribution - Maintains office filing and storage systems by sorting, recording and filing written material in alphabetical, numerical, or subject order as needed. Retrieves material from files upon request and keeps records of the movement of file materials. Opens, sorts, routes and distributes mail to the appropriate party. Screen mail to determine which letters can be answered independtly. Clerical Support - Makes and provides clerical support to the department/unit (photocopy, fax, mails, and files, data entry, sorts and distributes mail, ect.) and other related duties as needed. May order office supplies. Meets and greets clients; Resolves non-routine situations based on established policies and procedures and refers non solved issues and questions to the appropriate party. Performs and participates in other job related duties as required. Project Support Provides project/program support to a supervisor, department, or organizational unit in the preparation of project relevant materials that includes but is not limited to: assisting with project and event planning and implementation; managing the logistics of and coordinating content development for meetings, conferences, and other project-related events; assisting with the design, development and dissemination of project products and reports; coordinating and monitoring project budgets; coordinating proposal development and managing the proposal process; assisting with project data collection activities to maintain and improve the effectiveness of the workflow and ensure customer satisfaction. Reports - Receives, classifies, reconciles and consolidates data. Compiles and prepares routine factual forms and reports based on information readily available, verify information, determines report format, identifies discrepancies and make corrections. Research problems, issues and concerns and responds to requests for information and summarizes data based on information compiled from various sources. Additional Position Specific Responsibilities The individual will provide project support in the day-to-day of recruitment and follow-up activities, including: Assist in the development of strategic plans for respective community recruitment. Recruit participants from community sites. Conduct follow-up phone calls with individuals expressing interest in the study. Attend clinic visits with participants and obtain consent. Send, receive, and manage participant kits. Respond to phone calls from study participants. Organize and maintain case files, ensuring security of all study files. Work with data manager on special projects and quality control procedures. Receive study participant authorization forms. Conduct other research study activities, as necessary. Minimum Qualifications To qualify you must have a High school diploma or equivalent. Proficiency in Microsoft Excel and Office 365 Strong analytical ability, critical thinking, and proactive problem-solving skills Must be organized, detailed-orientated, dependable and flexible Have excellent oral/written communication skills and be able to communicate effectively with stakeholders regarding design and implementation Preferred Qualifications Bachelor's degree is preferred. Previous experience in human subjects research. Knowledge of basic medical terminology. Bilingual in Korean.
