Work Arrangement: Onsite (2-3 weeks for training), then Fully Remote
Employment Type: 1-Year Contract (Extension or Full-Time Conversion based on performance)
Shift: Monday-Friday | 7:00 AM - 4:00 PM (PT)

About the Role

We are seeking a detail-oriented Program Assistant to support the Energy Savings Assistance Program . This role focuses on invoice quality control, program intake processing, and data validation while working closely with third-party vendors operating in California. The ideal candidate is proactive, adaptable, and comfortable working in a fast-paced, corporate program environment.

Key Responsibilities

• Support daily operations of assigned energy efficiency programs
• Perform quality control (QC) reviews of vendor invoices to ensure accuracy and compliance
• Conduct program intakes , verify and validate data, and confirm numerical accuracy
• Apply correct measures and ensure alignment with program requirements
• Coordinate with third-party vendors regarding invoice submissions and corrections
• Maintain accurate program documentation, records, and audit trails
• Update and manage program databases, spreadsheets, and tracking tools
• Assist with budget tracking, reporting, and reconciliation activities
• Prepare meeting materials, agendas, and follow-up documentation
• Respond to program and stakeholder inquiries in a timely manner
• Support training, outreach activities, and internal process improvements

Required Qualifications

• High School Diploma or equivalent (Bachelor's degree not required)
• 0-2 years of experience in a Program Assistant, Program Support, or Project Coordinator role
• Strong experience or exposure to invoice processing and reconciliation
• Proficiency in Microsoft Excel (data entry, validation, tracking)
• Working knowledge of SAP or similar enterprise systems
• Strong attention to detail and ability to work with numbers accurately
• Self-starter with the ability to learn quickly and adapt to change
• Strong organizational and time-management skills

Preferred Qualifications

• Experience working in large corporations or structured corporate environments
• Familiarity with utility, energy efficiency, or regulatory support programs
• Understanding of corporate team structures and cross-functional collaboration
• Experience supporting operational or compliance-driven programs

Additional Information

• Candidates must provide their own computer and equipment
• Training will be conducted onsite before transition to remote work
