LEGAL OFFICE MANAGER – Family Law Firm (In-Office | Norwalk, CA)

This is the perfect opportunity for someone ready to grow into a management or leadership role at a law firm. The Gomez Law Firm, APC is a growing family law practice in Norwalk, California, and the sister firm of an established 10-attorney real estate litigation firm — giving you the stability and resources of a larger organization with the energy and upside of a practice on the rise. As our Legal Office Manager / Practice Manager, you'll lead day-to-day operations, shape how the office runs, mentor rising talent, and directly influence the client experience and the firm's bottom line. The role reports directly to the firm owner. If you're organized, proactive, and hungry for ownership, we want to hear from you.

KEY RESPONSIBILITIES

Responsibilities include, but are not limited to:

• Oversee day-to-day legal office operations and administration — scheduling, file management, vendor coordination, and facilities.
\n
• Keep client accounts current and trust funds (IOLTA) adequately funded, especially ahead of major upcoming work.
\n
• Lead collections and accounts receivable efforts; personally resolve billing concerns with clients.
\n
• Ensure trust accounting practices remain accurate and compliant with IOLTA and State Bar requirements.
\n
• Balance workload across the team — confirm paralegals are fully engaged and associates aren't shouldering it all.
\n
• Track deadlines proactively, ensuring assignments are completed well ahead of schedule.
\n
• Handle client intake calls and PNC meetings as our Intake Coordinator point of contact — qualify leads and prepare them for attorney sign-up.
\n
• Drive client conversion and onboarding to deliver a seamless first impression.
\n
• Own hiring, recruiting, and HR functions for Norwalk staff, plus performance reviews and coaching for the non-attorney team.
\n
• Help build and lead, alongside our attorneys, a mentorship track to grow a support-staff member into a full family law paralegal.
\n
• Prepare KPI reports and use data to drive continuous improvement.
\n
• Champion the client experience — grow positive reviews and NPS over time.
\n
• Manage vendor relationships and oversee billing and case management software, including Clio and QuickBooks (or comparable practice management/accounting tools).

• Contribute to special projects, including initiatives at our Wilshire office.
\n

QUALIFICATIONS

\n
• 2+ years of law firm office management, legal administration, or HR experience.
\n
• Sharp organizational skills and the ability to juggle competing priorities under pressure.
\n
• Strong written and verbal communication skills, with a detail-oriented, problem-solving mindset.
\n
• Bilingual in Spanish (Spanish-speaking) highly preferred, given our client base.
\n
• Available to work on-site full-time at our Norwalk office.
\n

A PLUS, BUT NOT REQUIRED

\n
• Family law experience — helpful, but we will train the right person.
\n
• Experience with client intake or collections.
\n
• Proficiency with Clio and QuickBooks, or comparable practice management/accounting tools.
\n
• Familiarity with trust accounting rules and IOLTA best practices.
\n
