Implementation Coordinator

Monthly Pay: $3,882 - $5,558 USD per month Summary: Working in a project management tool such as Smartsheet and a scheduling and calendar tool such as Google Calendar, the Implementation Coordinator organizes implementation activities that help customers move into new services with clear next steps. This role matters because coordinated handoffs, timelines, and updates help customers and internal teams stay ready for each launch. The coordinator sits within the project delivery team and works under an implementation manager. They collaborate with customers, project managers, implementation specialists, product teams, and technical contacts. This fully remote role is performed work from home in Arizona, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary. Job Responsibilities: Receive new implementation assignments through shared queues, emails, meeting requests, and internal task lists, then confirm the owner, requested outcome, and target milestones. Create and maintain implementation workspaces in a project management tool such as Smartsheet, organizing tasks, dependencies, owners, due dates, and current status. Coordinate kickoff activities by arranging meetings through a scheduling and calendar tool such as Google Calendar and preparing clear agendas for customers and internal participants. Review submitted setup details for completeness, compare them with the agreed implementation plan, and record outstanding questions in the project workspace. Track customer responses, internal handoffs, configuration progress, training needs, and readiness items so each participant understands the next action. Send concise status updates that summarize completed work, upcoming milestones, open items, risks, and decisions needing confirmation. Follow up with customers and internal owners when information, approvals, access details, or scheduled activities are overdue or unclear. Escalate blocked milestones, repeated delays, conflicting requests, and unresolved technical questions to the implementation manager or appropriate technical contact. Coordinate launch-readiness reviews, confirm that required activities are complete, and communicate the planned transition to ongoing support contacts. Maintain complete notes after meetings and updates, with quality judged by accuracy, turnaround, complete notes, and timely follow-up. Qualifications: High school diploma or equivalent. About 1-2 years of related implementation, project support, operations coordination, or customer-facing experience preferred. Familiarity with implementation workflows, milestone planning, task dependencies, customer handoffs, and launch-readiness activities. Experience using a project management tool such as Smartsheet to organize work, update task status, and identify delayed items. Comfortable using a scheduling and calendar tool such as Google Calendar to arrange meetings and maintain implementation timelines. Ability to review details carefully, recognize missing information, and communicate clear next steps to varied contacts. Sound judgment when prioritizing open items, following established procedures, and raising blockers to the appropriate owner. Reliable computer, high-speed internet, and a quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
