Primary Function of Organizational Unit


The primary purpose of the Department of Psychology is to provide undergraduate and graduate students rigorous training in the understanding of human behavior using scientific methods, and to provide students with the competencies, knowledge and skills sufficient to: (1) qualify for graduate/doctoral studies in psychology and the behavioral sciences; and (2) qualify for a range of human service positions that require the application of psychological or behavioral science methods and skills.

Primary Purpose of Position


This position provides administrative support to the Department Chair and faculty, including calendar management, correspondence, meetings, conferences, and travel. Serves as a primary departmental contact for students, faculty, staff, prospective students, parents, and the public regarding academic programs and services. Supports course scheduling, registration, enrollment, instructional documentation, Canvas, and faculty administrative needs. Manages departmental fiscal and administrative activities, including budgets, purchasing, travel, reimbursements, and recordkeeping. Assists with faculty recruitment, appointment, onboarding, and search activities. Coordinates departmental meetings, events, workshops, orientations, and other academic activities. Maintains confidential student, faculty, personnel, and departmental records; prepares reports; and supports assessment, accreditation, program review, and other departmental initiatives. Performs other duties and special projects as assigned by the Department Chair.

Required Knowledge, Skills, and Abilities
  • Excellent customer service, interpersonal, oral, and written communication skills when interacting with students, faculty, staff, parents, patrons, administrators, and the public.
  • Strong attention to detail, organization, analytical skills, and the ability to manage multiple competing priorities across two departments.
  • Ability to plan, prioritize, and independently manage workflow, anticipate needs, take initiative, and complete assignments accurately and timely.
  • Ability to work effectively under pressure and maintain flexibility, including evening and weekend work for productions and special events.
  • Working knowledge of Banner or equivalent systems and proficiency with Microsoft Office applications, including Word, Excel, Access, and PowerPoint.
  • Basic to intermediate knowledge of Adobe Creative Suite, including graphic design, video editing, web development, and photography, as well as campus telecommunications and classroom technology systems.
  • Knowledge of budget and office management, financial and statistical document processing, payroll, travel, claims, budgeting, and program assessment.
  • Knowledge of event and meeting planning, student retention strategies, and post-secondary institutional and community resources.
  • Demonstrated problem-solving skills and ability to exercise sound judgment, discretion, and confidentiality.
  • Ability to work collaboratively and independently and interact effectively and diplomatically with diverse individuals and groups.

  • Applies knowledge of course requirements, prerequisites, registration procedures, degree progression, and faculty responsibilities to support course scheduling, registration overrides, enrollment issues, and related academic matters.
  • Analyzes student, course, faculty, and departmental information in Banner, Canvas, and other systems to identify issues, provide accurate information, and support administrative and academic decision-making.
  • Applies University and departmental policies and procedures related to faculty recruitment, course scheduling, student services, academic records, travel, purchasing, and departmental operations.

Duties
  • Administers and monitors departmental budget accounts and advises the Department Chair on the use and allocation of available funds.
  • Reviews expenditures, account balances, and projected expenses to identify budget needs, discrepancies, and potential funding concerns.
  • Processes travel, purchasing, reimbursement, stipends, student-worker payments, and other financial documents, ensuring proper account coding and compliance with University policies.
  • Monitors departmental spending throughout the fiscal year and advises the Department Chair on funding needs, spending patterns, and competing priorities.
  • Reviews funding requests for faculty travel, conferences, student programs, events, supplies, and other academic activities and provides recommendations based on available resources.
  • Coordinates with the College Business Manager and University offices to resolve budget discrepancies and ensure expenditures are properly authorized and recorded.
  • Maintains accurate fiscal records and prepares budget reports, expenditure summaries, and financial information to support departmental planning and decision-making.
  • Applies knowledge of University budget policies, funding restrictions, account structures, and financial procedures to ensure responsible administration of departmental resources.
  • Identifies routine budgetary needs and opportunities to maximize available resources in support of the Department of Psychology's academic and operational priorities.

  • Coordinates and prioritizes the day-to-day administrative workflow of the Department of Psychology, balancing faculty, student, academic, fiscal, personnel, and departmental priorities and deadlines.
  • Coordinates office support activities to ensure departmental requests, correspondence, records, reports, purchasing, travel, course-related matters, and other administrative functions are completed accurately and timely.
  • Develops and implements administrative processes and procedures to improve workflow, communication, recordkeeping, and consistency in recurring departmental activities.
  • Coordinates the collection, organization, maintenance, and distribution of academic, faculty, student, personnel, fiscal, course, and program-related records.
  • Coordinates and directs the work of part-time student and work-study employees by assigning tasks, establishing priorities, providing guidance, and reviewing completed work.
  • Monitors recurring academic and administrative deadlines, including course scheduling, faculty hiring, travel, purchasing, reporting, meetings, events, and program activities.
  • Identifies workflow issues and recommends solutions to the Department Chair and faculty; resolves routine operational matters and escalates issues requiring higher-level decision-making.
  • Establishes and maintains organized electronic and physical records in accordance with University policies and confidentiality requirements.
  • Coordinates workflow and information between the Department of Psychology, College administration, and other University offices to facilitate timely completion of requests and compliance with procedures.

  • Serves as a departmental resource for Banner, Canvas, Microsoft Office, electronic records systems, and other technology supporting academic and administrative operations.

  • Uses Canvas and related instructional technologies to support faculty with course shells, syllabi, course information, and other routine instructional needs.
  • Uses Excel and other data-management tools to track budgets and expenditures, organize departmental information, and prepare reports and summaries.
  • Troubleshoots routine technology and software issues and serves as a first-level resource for faculty, staff, and student employees, referring complex issues to appropriate University technology support.
  • Develops and maintains electronic forms, templates, tracking tools, and other resources to improve administrative efficiency and consistency.
  • Integrates information from multiple systems to support departmental planning, scheduling, budget administration, faculty activities, and student services.
  • Provides guidance to student workers and departmental personnel on software applications, information-processing procedures, and technology practices.
  • Evaluates departmental technology needs and recommends improvements to systems, equipment, and processes.
