Corporate Administrative Assistant

Job Purpose
- Serve as the primary receptionist by answering and directing incoming calls via the main switchboard.
- Greet and assist visitors in a professional and welcoming manner; ensure a positive first impression of the organization.
- Support facility access, security procedures, and EHS protocols for visitors and employees.
- Manage incoming and outgoing mail, including sorting, distributing, scanning, and filing documents as appropriate.
- Monitor shared service ticketing systems and route inquiries to appropriate team members in a timely manner.
- Perform administrative support tasks, including document preparation, printing, badge creation, and general office coordination.
- Manage badge systems, visitor logs, or access systems
- Support shared inboxes or digital workflows (ticketing systems, forms, etc.)
- Provide administrative support to HR and other departments, including assistance with special projects, reporting, and data entry.
- Schedule meetings and coordinate conference room logistics
- Assist with company events, meetings, and employee engagement activities
- Maintain confidentiality when handling employee, business, and sensitive information.
- High school diploma or GED required; additional administrative training or coursework preferred.
- 2-4 years of experience in an administrative, receptionist, or office support role (corporate environment preferred).
- Strong verbal and written communication skills with the ability to interact effectively at all levels of the organization.
- Demonstrated ability to manage multiple priorities with strong organizational and time management skills.
- High level of professionalism, discretion, and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); intermediate Excel skills preferred.
- Ability to work independently as well as collaboratively in a team environment.
- English: excellent verbal and written communication skills to effectively deal with all levels of personnel, customers, and visitors.
- This position will work in an office setting, expect minimal physical demands.
