Specific Duties & Responsibilities include:
This position spends the majority of time engaged in supervisory responsibilities for a team of seven employees. This includes communicating with, motivating, training, and evaluating employees in addition to planning and directing their work . This individual will be responsible for all supervisory duties including, but not limited to, hiring and selection, developing performance plans, conducting performance appraisals, planning, and directing employees’ work, approving leave, and taking disciplinary action as appropriate. The incumbent will also be required to meet with staff regularly to discuss performance, complete performance reviews, maintain vacation and work schedules, ensuring proper coverage, and approve timesheets.
The employee in this position uses discretion and independent judgment to manage and monitor the workflow for the Board of Nursing Administrative Support Team, which handles phone, email, and chat inquiries for RN/LPN/APRN/CNA professions, as well as mail intake and processing for the office, in addition to other miscellaneous administrative tasks, including but not limited to, Voluntary Relinquishments, Refunds, Exam Verifications, Visiting Nurse Permits, Affidavits, Volunteer Renewal Waivers, Reactivations and Pearson Vue eligibility issues.
The incumbent must lead by example. This includes coming to work dressed appropriately based on the standards outlined in the department's dress code. This position must also behave according to required training, policy and the behavior policies outlined in the employee handbook. This also includes completing work assignments and timesheets by established deadlines.
Responsible for ensuring pre and/or post agenda preparation activities are completed in accordance with established time frames and procedures. This includes confirming agenda materials are produced accurately and distributed timely; calendars and notices of meetings are maintained and distributed timely and accurately. Communicate verbally and in writing with Prosecution Services, Office of Attorney General, and other parties to research and/or address agenda issues. Ensure public agenda materials have been posted online at least 7 days before meeting pursuant to Section 120.525, Florida Statutes and as outlined in policy DOHP 385-HC14-10. Ensure minutes from each board meeting are accurate and posted online within 10 days. Maintain Board/Council member appointment files, contact information, webpage updates and attendance accurately. The attendance record and contact information must be kept up to date and easily accessible on the J:\Nursing\Board network folder. Necessary web updates must be made within 5 business days of receipt. Update and maintain list of Declaratory Statements on the Department's website. Responsible for coordinating PCP meeting times with board members and PSU staff. This includes communicating verbally and in writing to board members/PSU staff changes to the meeting schedule and/or scheduling special PCP meetings. Ensure board staff attends PCP meetings by telephone conference and captures minutes accurately.
Balanced Scorecard owner for the following: Average# of days following a board meeting for board/council draft minutes to be prepared and posted on the MQA web site.
Monitor daily call volume and wait times. This includes ensuring all calls are answered timely and do not exceed the maximum wait time of five minutes; the call center is staffed appropriately; observing staff bi-weekly to verify agents are providing acceptable service to MQA's customers as outlined in policy DOHP 385-0001-11. Monitor staff email responses for correct grammar and content.
The incumbent should meet with each of their direct reports to provide constructive feedback. This feedback should include where the employee is currently with meeting evaluation criteria. Any feedback given to an employee about performance or behavioral issues must be followed up with an email to the employee recapping the discussion. The incumbent must implement corrective action when necessary.
