This position is responsible for managing the day to day workflow in the department as outlined in the specific accountabilities section and as directed by the Supervisor or Department Director. The individual in this role shall facilitate smooth operation of the department. The individual in this position will be required to fully understand the purpose and operation of Family Medicine along with having the ability to make decisions based on sound judgment when a situation dictates.

This is a full-time position working Monday-Friday from 8:00am-5:30pm.

Essential Functions

  1. Assists with the clerical function for office visits.
  2. Provides accurate and consistent inventory/ordering of supplies and equipment to the department
  3. Assists others with clerical functions of intra-inter-departmental communications and other clerical activities.
  4. Performs clerical duties such as, answering phones; relaying messages; distributing mail; printing labels; assisting with basic chart prep; copying chart forms; scheduling x-rays, labs and follow up appointments, processing internal referrals to other departments, within guidelines; assisting with reminder calls, patient follow up calls as able and in basket filtering.
  5. Serves as liaison by greeting and facilitating information to patients, families, staff and physicians.
  6. Facilitates service requests to IT and maintenance to assure optimal functions: copy machine, computer and printer.
  7. Ensures a safe, clean and orderly environment in the work area by assisting in keeping materials organized and counters clear.
  8. Maintains professional growth and development through seminars, workshops and professional affiliations to keep abreast of latest trends in field of expertise.
  9. Ensures no injuries to self or others by following safe work practices and This includes, but is not limited to: security and safety, understanding of MSDS, equipment, infection control, fire, disaster, safe lifting and body mechanics.
  10. Ensures self-compliance with organization policies and procedures, as well as labor
  11. Ensures the interface with team members and other support groups is conducted in a courteous and efficient manner conducive with the organization's values.
  12. Conducts self in a professional manner and ensures personal appearance meets the standards necessary to perform the job function while representing the organization.
  13. Ensures that additional accountabilities, as may be required by management, be handled in a manner necessary to meet organizational standards.

Work Environment

The individual in this position reports to the Supervisor and Department Director. This position works closely with physicians, nurses, medical assistants and other ancillary departments in order to ensure optimal patient care and outcomes.

Education & Experience

Education: High school diploma or equivalent.

Certification: Basic Life Support Heartsaver (HS) level to be completed within 30 days of hire.

Experience: One to two years' experience in health care environment preferred.

Skills/Competencies: Demonstrates competency on equipment listed on department specific checklist. Demonstrates skills in verbal communication and listening. Demonstrates skills in providing excellent service to customers. Proficient computer and phone skills Knowledge of medical terminology preferred. Know and adhere to policies or privileged communication. Critical thinking skills: Seeks resources for direction, when Performs independent problem solving. Decision-making is logical and deliberate. Performs actions that demonstrate Exercises safe judgment in decision-making. Practices within legal and ethical guidelines

Physical Requirements

  1. Occasional or prolonged standing, sitting, bending, or lifting.
  2. Manual dexterity, ability to lift/carry up to 10 pounds (supplies and equipment).
  3. Good reading Is able to see clearly 20 feet or more, to judge distance and space relationships, and to see peripherally.
  4. Ability to communicate using verbal and/or written skills for accurate exchange of information with physicians, nurses, medical assistants, patients and/or family, and the public.
