Contract Administrator

W.S. Darley & Co is seeking a Contract Administrator for our Defense Division to join our team!

The Contract Administrator is responsible for the administration, maintenance, and compliance of General Services Administration (GSA), NASA SEWP VI (SEWP), and other IDIQ contract vehicles. This role supports contract operations from quote generation through order fulfillment, contract reporting, modifications, compliance management, and business development activities. The Contract Administrator serves as a key liaison among sales, accounting, purchasing, suppliers, and government customers to ensure contract requirements are met while maximizing contract utilization and operational efficiency.

Requirements

Contract Administration & Compliance

• Administer and maintain GSA Schedule, SEWP, and other IDIQ contract vehicles.
• Support the evaluation of new products and suppliers for inclusion on GSA, SEWP, and other IDIQ contracts.
• Serve as a point of contact for contract-related inquiries from customers, suppliers, and internal stakeholders.
• Ensure compliance with contract terms, federal regulations, and company policies.
• Maintain complete and accurate contract files, correspondence, modifications, and supporting documentation.
• Assist with contract modifications, including product additions, deletions, pricing updates, and administrative changes.
• Prepare and submit monthly Transactional Data Reporting (TDR) and other required contract reports.
• Track contract sales, reporting requirements, and contract performance metrics.
• Support internal and external audits related to GSA, SEWP, and other government contract vehicles.
• Attend monthly IDIQ review meetings and maintain monthly contract deliverable reports.

Process Improvement

• Identify opportunities to improve contract administration workflows and eliminate process inefficiencies.

Backup Responsibilities

• Serve as backup for the GSA Manager during planned and unplanned absences.
• Support continuity of contract operations and reporting activities.
• Order entry, quote creation, acknowledgements, credit card receipts.
• Strong communication with accounting, purchasing and suppliers to complete admin duties
• Input of GSA and IDIQ tracking. Filling monthly (TDR) Transactional Data Report

Supervisory Responsibility

This position has no supervisory responsibility today.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m.

Travel

This position currently does not require travel, unless determined for work related necessity.

Compensation

$70,000-$80,000 base salary
