Vacancy: 2 openings for Operations Assistant aka Travel & Housing Coordinator

Location:Pflugerville,Texas, USA (On - site)

Key responsibilities:

• Maintain and update operational records.Keep accurate and up-to-date records of daily operations, schedules, and meetings to ensure smooth workflow and effective communication.
• Provide direct administrative and operational support to Project Managers, assisting with daily tasks, planning, documentation, and follow-ups.
• Coordinate the allocation and use of company vehicles, rental cars, and housing arrangements.
• Proactively communicate with vendors to compare pricing and support negotiations for cost savings.
• Incident resolution on-site.Address and resolve any issues affecting professionals during the delivery of their services at client or project sites, ensuring minimal disruption.
• Liaise with suppliers.Communicate with various suppliers to confirm service availability and ensure services meet company standards and needs.
• Invoice management and reporting.Generate, monitor, and report invoices related to operations, maintaining accurate financial records and supporting budget control.
• Coordinate travel arrangements for project personnel, including flights, accommodations, and rental vehicles.
• Perform data entry and updates in company digital systems (ERP, SharePoint, internal applications).
• Actively participate in the monitoring and continuous improvement activities of the system as well as the implementation of the requirements.

Bilingual English/Spanish is required

Proficiency in MS Outlook and Excel is required.

1-2 years of experience in an administrative, project support, coordination preferred.
