About the role:

Provide support and clerical expertise to Engineering Department and respond to inquiries and problems in an efficient, courteous and professional manner to achieve maximum customer satisfaction while complying with all Four Seasons' policies

What you will do:

• Perform administrative skills such as typing, filing, copying, faxing and answering telephones according to Four Seasons standards.
• Communicate to Engineers on duty and keep a log of all details pertaining to guest calls regarding maintenance of rooms and equipment in rooms or public area in a timely manner.
• Assist with processing invoices, purchase orders, receiving records, and other accounting documents.
• Enter invoices and financial information accurately into the accounting system.
• Ensure timely and accurate completion of month-end and year-end closing processes
• Maintain regular communication with Finance to confirm timely processing of vendor payments and prevent delays or service disruptions.
• Assist with CAPEX packets, supplier statement reconciliations, and discrepancy follow-up.
• Evaluate and maintain all records for relevant inventory and orders. Maintain an efficient purchase order system to ensure accuracy.

What you bring:

• High school diploma or equivalent
• 1–2 years of administrative or coordinating experience, ideally within Engineering, Facilities, or a hotel operations environment.
• Strong proficiency in Birch Street, HotSOS, Microsoft Office (Excel, Word, Outlook), and work-order management systems.
• Familiarity with plan budgeting, cost management, and residential construction materials and trades.
• Demonstrated ability to build and maintain strong supplier, vendor, and trade relationships.
• Strong communication skills, both verbal and written, with the ability to work effectively with engineering staff, vendors, and other departments.
• Proven ability to maintain accurate records, logs, inventories, and compliance-related documentation.
