Church Administrator

The Church Administrator serves as the primary point of contact for Manhattan Beach Community Church (MBCC), managing the day-to-day operations of the church office, supporting staff, and keeping the congregation informed of events and activities. This person brings a pleasant, cheerful presence to every interaction and is ready to attend to the needs that arise in a busy, mission-driven church community. This role also provides part-time executive assistant support to the Senior Minister, helping manage his calendar, returning occasional calls and emails on his behalf, and serving as an occasional point of contact with the church's Boards. GENERAL OFFICE

Serves as the primary contact in the Church office, answering phones and greeting visitors with a pleasant, welcoming presence. Takes phone, voicemail, and email messages, responding as appropriate and in a timely fashion. Receives church mail and distributes it to the proper staff and organizations, opening any general mail addressed to the church. Participates in weekly staff meetings and monthly Executive Board meetings as requested. Coordinates with the Ministers, church staff, and members to schedule events on the Church Master Calendar, ensuring all calendar entries are complete and accurate. Provides light communications support in partnership with the Communications Director, who leads most communications work. Assists with printing and ordering materials for church programs and events. Assists with logistics and purchasing for church events. Maintains and restocks inventory of office and church supplies (e.g., daily devotional booklets, candles, special bulletin paper). Maintains and restocks inventory of kitchen supplies. Plans for, orders, and distributes UCC “5 for 5” offering materials. Manages church’s annual submission to the UCC Yearbook.

EXECUTIVE SUPPORT FOR THE SENIOR MINISTER

Provides part-time executive assistant support to the Senior Minister, including returning occasional calls and emails on his behalf. Assists with managing the Senior Minister's calendar. Serves as an occasional point of interface between the Senior Minister and the church's Boards.

ADMINISTRATION

Maintains accurate membership records for the church (currently in PowerChurch), conducting periodic audits to ensure the accuracy of member information and membership status. Generates membership reports as needed to support church business meetings, including the Annual Meeting. Maintains the church's emergency contact list. Facilitates church permits for on-campus activities.

FINANCIAL

Handles Accounts Receivable in partnership with the Business Manager and posts all incoming funds to the church accounting platform, including pledges from congregants, rent payments, and any reimbursements. Distributes quarterly contribution statements to congregants. Responds to questions or inquiries from congregants regarding contributions. Coordinates with the Business Manager to properly process incoming bills and reimbursement requests, and to ensure accuracy of all funds received. Supports the assistant moderator with Remote Deposit Capture of checks and the counting process. Takes deposits to the bank when a Moderator or other designee is not available.

FACILITIES

Strategically resources and schedules events on the Church Master Calendar, watching for back-to-back bookings or conflicts that could overextend the team or strain facility resources, and raising concerns before events are approved. Coordinates cleaning and set-up tasks for the custodian and maintenance person on a daily basis based on facility usage. Prepares weekly diagrams and lists for space set-ups and breakdowns for maintenance personnel and oversees their work. Supervises the custodian when the custodian is on campus. Coordinates usage of facilities by members and outside users, including rental fees. Ensures church facilities are set up and cleaned prior to use by groups within the congregation and outside groups. Obtains and maintains certificates of insurance. Coordinates with the Property Manager on repairs or maintenance matters on the church campus and the CE Building campus. Interfaces with the Montessori School as needed.

ANNUAL PLEDGE DRIVE

Assists the Operations Board during the pledge campaign process as requested. Orders all materials used in the annual pledge campaign. Coordinates the stuffing of pledge materials and ensures a timely mailing. Receives all pledge cards from congregants and posts the pledges to the church database. Partners with the Business Manager to update pledge information with the church's credit card processor (Vanco).

ANNUAL MEETING

Organizes and compiles the MBCC Annual Report, facilitating the printing of the report each year. SPECIAL SERVICES: WEDDINGS, BAPTISMS, AND MEMORIAL SERVICES Takes initial information from family members and informs the Senior Minister of these requests. Coordinates with ministerial and other staff, serving as a liaison with family members on various aspects of these services. Sets up the sanctuary and reception space per the family's wishes (may occur outside routine hours or on a weekend).

SPECIAL SERVICES: MEMBER CARE

Maintains contact with members who are experiencing difficulties, needing extra services, and/or attention. Refers individuals to appropriate resources, within or outside the church. Qualifications Pleasant, cheerful, and welcoming presence with strong customer service instincts. Excellent written and verbal communication skills. Highly organized with strong attention to detail, particularly around calendar management. Working knowledge of PowerChurch, Planning Center, or a similar church management platform (preferred). Comfortable managing multiple priorities in a fast-paced, mission-driven environment. Discretion and sound judgment when handling sensitive member and financial information. Flexibility to support occasional evening and weekend needs. Salary Range: $65,000 – $80,000, commensurate with experience.
