Position Overview:

\n

We are seeking an Advisory Fee Billing Associate who will be responsible for administering fee-related activities within Brookstone . This role is highly complex and takes an individual who has srong analytical skills and financal analysis skills. The ideal candidate will be highly organized, detail-oriented, analytical, and a team player who thrives in a fast-paced environment. The primary focus of this role is to ensure accurate and timely calculation, distribution, and tracking of fees for Financial Advisors and external partners. As a Billing Associate, your responsibilities will include analyzing financial data, maintaining fee billing records, resolving discrepancies, and collaborating with various departments to ensure seamless fee billing processes.

Key Responsibilities:

• Assist with the monthly billing process, including fee calculations and auditing
\n
• Perform data reconciliation between portfolio accounting systems and custodians
\n
• Maintain and update client billing profiles, fee schedules, and account changes
\n
• Ensure fees are billed in accordance with client agreements and firm policies
\n
• Collaborate with internal teams to resolve billing discrepancies and client inquiries
\n
• Prepare billing-related reports for internal stakeholders and management
\n
• Ensure that fee billing processes adhere to company policies, industry regulations, and legal requirements
\n
• Investigate and resolve billing-related disputes or discrepancies
\n
• Provide support and guidance to Advisors or team members on billing-related matters
\n
• Track and support new account onboarding, terminations, and billing changes
\n
• Assist with audits, regulatory requests, and internal compliance reviews as needed
\n
• Identify and recommend process improvements for billing efficiency and accuracy
\n

Qualifications:

\n

\n
• Bachelor’s degree in Finance, Accounting, Business, or related field (or equivalent experience)
\n
• 1–3 years of experience in billing, client operations, or finance, preferably in an RIA or wealth management environment
\n
• Understanding of basic Advisory Fee billing structures (tiered AUM, flat fees, hybrid models)
\n
• Strong Excel skills (v-lookups, pivot tables, basic formulas)
\n
• Excellent attention to detail and ability to manage multiple tasks under deadlines
\n
• Clear written and verbal communication skills
\n
• Comfortable working independently and within a team environment.
\n
• Detail-oriented with excellent organizational and problem-solving skills
\n
• Excellent interpersonal, organizational, and communication skills
\n

Preferred Skills:

\n

\n
• Experience supporting independent Advisors or RIA within a TAMP framework
\n
• Experience working with custodians such as Schwab, Fidelity, or Pershing
\n
• Familiarity with portfolio management software (e.g., Orion, Tamarac, Black Diamond)
\n

Position: Full-time

Location: Wheaton, IL (100% onsite - not a remote/hybrid/WFH position)
