Key Responsibilities Maintain an organized and efficient office environment, including supplies, equipment, vendors, and filing systems. Serve as the primary point of contact for staff, visitors, and external partners. Manage phone lines, shared inboxes, mail, shipping/receiving, and general communications. Coordinate meetings, appointments, company events, and trainings. Support expense tracking, invoice processing, and assist with billing activities. Perform accounts receivable support, including collections follow‑up and payment tracking. Serve as contract liaison by coordinating documentation, tracking status, and maintaining compliance records. Track and manage purchase orders (POs) and certificate of insurance (COIs) to ensure proper approvals and budget alignment. Support HR administration, including onboarding, recordkeeping, and payroll/benefits coordination. Improve and maintain administrative processes, workflows, and reporting deadlines. Qualifications Experience in office management, administrative support, or business operations. Strong organizational, multitasking, and time‑management skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office/Google Workspace and general office systems. Detail‑oriented with strong problem‑solving ability. Ability to maintain confidentiality and work in a fast‑paced environment. Experience with cross‑functional collaboration. Preferred: Experience with billing, collections, and contract administration.
