Faculty Affairs Administrator

$30 - $40 per hour

Faculty Affairs Administrator – Higher Education (Workday) Pay: $30-$40/hr | Duration: 3-6 months+ (start 12/15/2025) | Location: Brooklyn, NY 11201 | *onsite Senior Administrator for Faculty Affairs. This is a temporary role with the possibility of extension. The Senior Administrator will provide day-to-day support across the portfolio of activities in the Office of Faculty Affairs, as well as contributing to long‑term strategies. We seek a proactive and highly organized Senior Administrator that can provide support in a dynamic, fast‑paced environment with constantly shifting priorities and administrative activities that span the full faculty life cycle, from recruitment, through promotion and career development, to separation and retirement. Daily activities include managing core workflows of the Office of Faculty Affairs, including hiring, offer negotiations, onboarding, leaves of absence, performance review, and promotion. These activities take place across a range of appointment types that are checked against different policies, procedures, and best practices. Each workflow requires meticulous record keeping and record maintenance across a variety of systems. The Senior Administrator should be confident working with structured workflows, as well as workflows that are unstructured and ad‑hoc. The Senior Administrator should be comfortable working with confidential personnel records. The work of the Office of Faculty Affairs is fast moving with constituents that span the entire university. The Senior Administrator should have excellent communications skills, an ability to handle high throughput task environments with keen attention to detail, in a professional environment. Key Responsibilities Take end-to-end ownership of multiple workflows in the Office of Faculty Affairs (hiring/onboarding, appointments, performance review management, requests for workload modification, supporting the promotion process, supporting faculty development initiatives). Manage a high volume of e‑mail communications and inquiries regarding compliance with policies and procedures, servicing requests from users across a full spectrum of needs from novice through to expert. Triage requests and ensure timely, clear, and professional responses. Document, track, and update task status in workflows across a variety of organizational schemes and business processes, using Microsoft Suite and Google Workspace tools, Adobe Sign, and internal University systems. Generate reports for tasks in structured lifecycles, as well as ad‑hoc requests. Assist with scheduling and coordinating meetings. Anticipate needs and potential issues to support smooth operations and continuity of service. Collaborate with team members while working independently to complete tasks with accuracy and efficiency and handle sensitive and confidential information with discretion. Provide excellent customer service in a front‑facing office setting supporting faculty and departmental staff. Provide back‑office support for personnel records and salary transactions. Desired Qualifications and Skills Excellent skills in human resources workflow processes and systems. Self‑starter who can take initiative and manage competing tasks; also self‑directed but able to work collaboratively as part of a team. Strong problem‑solving and critical thinking skills. High attention to detail and strong organizational skills. Excellent anticipation skills (ability to identify needs and act before issues arise). A clear, professional and confident communicator (written and verbal). Fast learner who can quickly grasp new systems, processes and policies. Experience with budget management/administration including tracking expenses, processing transactions, and reconciling accounts. Advanced technical skills with clerical software (Microsoft Suite, Google Workspace and general office technologies). Knowledge of Workday systems. Familiarity with faculty affairs processes (helpful, but not required).
