Administrative Assistant
Specialty Finishes, Inc. , a commercial painting contractor located in Atlanta, Georgia , is seeking a full-time Administrative Assistant to support a variety of administrative and accounting functions in our fast-paced office environment.
Key Responsibilities
- Answer phones and greet visitors in a professional and welcoming manner
- Distribute mail, packages, and project plans to appropriate team members
- Prepare, enter, and distribute purchase orders to Accounts Payable, Project Managers, and the Receiving Manager
- Enter accounts payable data and review/reconcile month-end statements
- Set up new projects in accounting and inventory systems
- Assist Project Managers with material orders and prepare customer samples
- Process inventory transfers to job cost
- Process and distribute weekly job cost reports to Project Managers and management
Qualifications
We are seeking someone who is organized, detail-oriented, and able to manage multiple priorities effectively. Strong time management and communication skills are essential, as this role works closely with clients, Project Managers, and company leadership on a daily basis.
Qualified candidates should have:
- Front office and data entry experience
- Proficiency in Microsoft Office, particularly Excel
- Strong organizational and multitasking abilities
- Construction industry experience is a plus and may offer opportunities for future growth within the company.
