We're seeking a highly organized and detail-oriented Customer Service Coordinator to join a rapidly growing organization supporting major retail and distribution partners across the country.
This is more than a traditional customer service role. You'll be at the center of operations, working closely with customers, production, logistics, and sales teams to ensure orders are processed accurately, inventory is aligned, and customers receive exceptional service. What You'll Be Doing
- Manage customer orders from receipt through fulfillment using EDI and manual order processing systems.
- Enter and update customer orders accurately and efficiently.
- Review order data for discrepancies and resolve issues quickly.
- Monitor inventory levels and assist with forecasting and order planning.
- Serve as a primary point of contact for customers via phone and email.
- Respond to inquiries regarding orders, products, inventory availability, and shipping status.
- Investigate and resolve customer concerns while providing outstanding service.
- Coordinate closely with production, logistics, and sales teams to ensure timely order fulfillment.
- Track order status and proactively communicate updates to customers.
- Maintain detailed records of customer interactions, order changes, and resolutions.
- Analyze large datasets and item spreadsheets using Excel to support customer and operational needs.
What We're Looking For
- 5-7 years of customer service, order management, or account coordination experience.
- Background supporting B2B customers in a manufacturing, food production, distribution, consumer goods, furniture, or other product-based environment.
- Experience working with major retailers, grocery chains, distributors, or large commercial accounts.
- Strong order entry and data management experience.
- Familiarity with EDI systems and electronic order processing.
- Excellent verbal and written communication skills.
- Strong problem-solving abilities and attention to detail.
- Ability to manage competing priorities in a fast-paced environment.
Required Technical Skills
- Advanced Microsoft Excel proficiency:
- Pivot Tables
- VLOOKUP/XLOOKUP
- Advanced Formulas
- Data Analysis
- Managing large SKU and inventory spreadsheets
- Experience with EDI order processing systems strongly preferred.
- Experience with Macros or advanced reporting tools is a plus.

Additional Information
- 100% onsite position in Irvine, CA.
- Compensation: $25-$35/hour.
- Schedule: Monday-Friday, 7:30 AM-4:00 PM.
- Rotating Saturday and holiday coverage required.
- Future scheduling flexibility may include rotating shifts such as:
- Monday-Friday
- Tuesday-Saturday
- Sunday-Thursday
- Candidates must be comfortable completing a background check and drug screening.
- Excel proficiency will be assessed during the interview process.
