Payroll Specialist

Overview Job Title: Payroll Specialist Department: Payroll The role is responsible for processing employees' paychecks by collecting payroll data and timesheets, verifying work hours and payments in the payroll system, issuing deductions, earnings, and statements, and updating payroll records regularly. The ideal candidate will have experience with payroll systems, union-specific payroll requirements, SCA regulations, and government contract guidelines. Proficiency in Excel is required. Candidates may be asked to complete a brief Excel proficiency assessment during the interview process. Responsibilities Maintain payroll information by collating, calculating, and entering data (primarily using Excel). Update payroll records by entering changes. Audit payroll data to ensure compliance with union agreements, SCA, and government regulations. Prepare reports summarizing earnings, tax deductions, leave, compassionate leave, and non-taxable wages. Calculate payroll liabilities, including federal and state income tax, Social Security, and employer payments for Social Security, unemployment, and workers’ compensation. Ensure all deductions and earnings are correct for each payroll. Resolve payroll discrepancies and respond to employee payroll queries. Maintain all payroll operations according to company policies and procedures. Process and issue W-2 forms to employees. Required Skills/Abilities Understanding of Excel basic functions (creating pivot tables, VLOOKUP, formulas, etc.) for accurate calculations. Proficient written and oral communication skills. Strong computer literacy; able to read, write, and comprehend instructional documents. Ability to function well in a high-paced and sometimes stressful environment. Numerical proficiency in basic arithmetic and financial calculations. Ability to compute rate, ratio, and percent and to interpret simple graphs. Experience with Microsoft Office suite. Good organizational skills with the ability to multi-task and manage multiple accounts. Strong verbal communication and active listening skills. Interpersonal skills, including conflict resolution. Education and Experience High school diploma, GED, or equivalent required. Bachelor's degree in accounting, finance, or related field preferred. At least two (2) years of payroll experience preferred. Experience with Service Contract Act and Union Workforce preferred. Knowledge of multiple state and federal employment laws, travel expenses, and reimbursement. Physical Requirements Prolonged periods of sitting at a desk and working on a computer. Occasional exposure to loud noises. Ability to lift up to 25 pounds at times. Ability to stand, walk, and reach with arms and hands as necessary. Ability to hear and see to position and safety requirement levels. Occasional exposure to heat, cold, noise, dust, dirt, and chemicals. Special Qualifications/Requirements Must be able to successfully pass a background investigation as required by federal, state, or local governments. Bilingual preferred (Spanish).
