Veterinary Practice Manager

Honey Creek Veterinary Hospital has been serving the community for over 35 years. It is a full-service veterinary medical facility located in Conyers, GA. The professional and courteous staff provide medical, surgical, and dental care for their patients. Honey Creek Veterinary Hospital is a 5-doctor small animal practice in Conyers, GA since 1987. We are seeking a competent and enthusiastic Client Care Representative to join our experienced and friendly team. We are dedicated to compassionate care for our patients. We are looking for a courteous and efficient veterinary practice manager to coordinate and manage all office administration procedures. The practice manager responsibilities include ordering, inventory management, coordinating schedules, resolving conflicts among staff, training, and other duties to keep the practice operating efficiently. You should also be able to answer pet owners’ questions regarding clinic policies, appointment availabilities, and treatment costs. To be successful as a veterinary practice manager, you should be patient, detail-oriented, and adept at multitasking. An outstanding veterinary practice manager should communicate effectively with pet owners and veterinary staff and demonstrate strong management, organizational, and customer service skills. Job duties Make informal recommendations to the veterinary regional manager concerning staffing needs, advancement, re-assignments, hours of work or other status changes affecting the receptionists. Direct on-the-job training to develop employee skills, advise employees of performance requirements and their progress, discuss corrective measures to improve performance and prepare appraisals. Recruit, hire, and onboard appropriate staff members that fit within the culture and needs of the hospital. This includes handling job descriptions and assisting with salary setting. Market the hospital to prospective customers and the veterinary community by identifying and attending relevant local and regional events. Resolve informal employee complaints, provide explanations of hospital personnel policies and procedures, and maintain effective employee-management communication. Work well with all team members and ensure actions support the hospital, the doctors, and the practice philosophy. Knowledge of hospital procedures for assembling patient records and recording veterinary orders for patient activities, diet, tests, and treatments to maintain accurate records. Knowledge of veterinary terminology to accurately enter information into patient records. Obtain information from owners to complete records, provide scheduling instructions, and relay practitioners’ orders regarding animal care and treatment. Address and resolve pet owners’ complaints promptly. Prepare employee work schedules and manage office staff. Demonstrate strong leadership, communication, and motivation to direct and guide a team. Knowledge of English language structure and spelling, with good grammar. Show unbiased judgment in managing people and make fair recommendations regarding personnel issues or disciplinary actions. Answer telephone calls in a polite and professional manner. Establish and maintain an inventory control system to ensure adequate stock of supplies. Review best prices for all products purchased and manage inventory, including controlled drugs, monitoring quantities and price points, including equipment and returns. Manage hospital policies, including DEA/Controlled Substances and OSHA compliance. Ensure payroll is completed accurately and on time. Establish good relationships with vendors to receive the best support for the hospital. Notify veterinary staff promptly of emergency cases. Interview suitable office staff candidates and provide training as needed. Perform other duties as assigned. Qualifications Experienced or certified Veterinary Practice Manager with a minimum of 1 year of management experience preferred, or 3+ years of veterinary experience preferred. Knowledgeable in veterinary medicine terminology and how to run a veterinary hospital. Compassionate, calm, team player, multi-tasker, and strong communicator. Highly organized with computer skills. Self-starter with the desire to continue to advance knowledge and skills. Open availability with flexibility to change hours based on the hospital’s needs.
