Case Manager Assistant (Personal Injury)

Our growing firm is looking for a Case Manager Assistant to work directly with our Case Managers in retrieving all necessary documents for new and existing cases. Specific responsibilities may vary depending on the assigned task needed. Core duties and responsibilities include the following, other tasks may be assigned along the way. This position has a high potential for growth within the firm. We will provide training as needed. Key Responsibilities: Support Case Managers – assist with scheduling doctors’ appointment, sending reminders to client’s regarding upcoming appointments, and setting up transportation as needed. Open all claims of incoming cases. Run PL Searches as needed. Obtain 1P DEC Page. FU with 3P regarding liability. Follow up with 1P regarding coverage and DEC Page. Send out SR1 and SR19 as needed. Handle Property Damage with the clients and make sure the client is made whole regarding their lost property. Obtain witness statements and videos as needed. Run any investigative searches as needed for the case i.e. PL, Policy Search, TLO, ISO Scan and save documentation needed for the case to the firm's system Send correct letters to clients Request police reports on behalf of clients etc. Maintain communication with clients when the case manager is out or busy with another call General office support & tasks as needed Build and maintain case database Qualifications: Strong hands-on experience with the Medical Records Coordination (MRC) process within a personal injury law firm. Previous experience overseeing, supervising, or coordinating a medical records team is highly preferred. Demonstrated experience managing high-volume medical records and billing requests while maintaining strong organization and attention to detail. Knowledge of medical records retrieval, medical billing, provider follow-up, authorizations, HIPAA-related requirements, and personal injury case workflows. Ability to track multiple cases and outstanding medical records requests simultaneously while meeting deadlines. Strong leadership, communication, follow-up, and problem-solving skills. Experience with case management software and document management systems is preferred. Ability to identify missing or incomplete medical documentation and take appropriate action to obtain it.
