Administrative Assistant

Essential Job Functions/Duties:

1. Must be able to execute administrative duties assigned by supervisor including but not limited to: creating and typing forms, maintaining spreadsheets, filing, answering phones, and organizing assigned responsibilities.

2. Must be able to effectively communicate with team members, supervisors, managers, and visitors.

3. Key person to answer all incoming phone calls, direct accordingly, and coordinate as necessary with the guard shack regarding visitors and other matters.

4. Collecting the mail and index cards daily at the guard shack.

5. Log all of the daily call ins, enter them into spreadsheet, email them to supervisors, superintendents, managers, etc.

6. Make new hire badges.

7. Fill out checklist for new hire packet, put all new hire paperwork in the appropriate folders.

8. Enter Productive Staffing new hires into UKG.

9. Enter new contract team members into contract log and roster.

10. Print attendance rosters daily for the plant.

11. Must be able to work efficiently despite frequent interruptions.

12. Must be able to multi-task and set priorities with strong customer service skills and attitude.

13. Must proactively seek the opportunity to help fellow team members, as well as opportunities to improve processes.

15. Perform other duties as assigned.

16. Term team members out of Genetec.

17. Entering the Glisson waste info into spreadsheet every Monday and emailing total.

18. Checking ID's for new hires on pre-employment days and making badge pictures.

19. Distribute birthday cards monthly to all supervisors.

20. Scan all charges/no charges for safety glasses and badges weekly.

21. Other duties as assigned.

Physical/Mental Requirements:

1. Must be able to sit for long periods of the work day at a computer.

2. Must be able to stand and walk for long periods of time.

3. Repetitive use of hands.

4. Must be able to bend, stoop, and climb steps.

5. Must be comfortable working in organic conditions.

Must be able to deal with people to maintain good employee relations. Previous HR and clerical (typing, filing, computer skills, including Word and Excel) experience helpful.

Minimum High School diploma or equivalent, some college or HR/labor relations seminars.
