We are looking for a detail-oriented Human Resources Records Specialist to support HR records administration and compliance efforts in Oakland, California. This Contract position focuses on maintaining accurate employee documentation, supporting digital file projects, and helping ensure records are organized in accordance with established HR standards. The ideal candidate is comfortable working independently, managing sensitive information with discretion, and using Asana to track progress across audit and documentation activities.

Responsibilities:
• Perform detailed reviews of employee files to identify missing, incomplete, or misclassified documentation and support overall records compliance.
• Coordinate document scanning and digitization efforts to convert paper-based HR records into organized electronic files.
• Create, update, and manage Asana trackers that monitor audit status, digitized files, and follow-up actions.
• Maintain orderly record retention practices by ensuring personnel documents are stored, labeled, and handled according to HR policies.
• Support administrative HR workflows related to records management, onboarding documentation, and confidential file maintenance.
• Classify and organize personnel records, compliance documents, and other sensitive materials with a high level of accuracy.
• Work independently to prioritize assignments, resolve documentation issues, and keep audit activities moving forward with minimal oversight.• Prior experience in human resources is required.
• Hands-on experience in HR records administration, file management, and compliance support is required.
• Proficiency with Asana is required, including using it to build and maintain tracking tools or audit matrices.
• Ability to work independently while managing multiple records-related tasks with strong attention to detail.
• Knowledge of proper HR document handling, including personnel files and confidential employee records.
• Familiarity with HRIS environments and general HR administrative processes is preferred.
• Experience supporting onboarding, employee relations documentation, or screening processes is a plus.
• Experience with related internal HR platforms is preferred, but training can be provided.
