Job Summary: The Industrial Maintenance Coordinator / Planner Scheduler is responsible for planning, scheduling, and coordinating service and repair work across Nelson-Jameson’s Service & Repair function, which provides maintenance, repair, and preventative services to food, beverage, and dairy manufacturing facilities. This role helps ensure service work is properly planned, parts and materials are identified and available, technicians are scheduled appropriately, and work orders and service records are accurate and complete. Unlike a traditional plant-based maintenance role, this position supports service operations across a multi-site customer base. The role works closely with Project Managers, field technicians, customers, vendors, and procurement to coordinate upcoming work, identify parts and equipment needs, maintain preventative maintenance schedules, and manage service information within CMMS and ERP systems. This position combines maintenance planning and scheduling with strong administrative, systems, and coordination responsibilities. You don't need to have held the title of Planner/Scheduler to be successful in this role. Experience in maintenance administration, CMMS administration, industrial or MRO parts, manufacturing support, service coordination, maintenance planning and scheduling, or a similar environment may all translate well. We're especially interested in candidates who are familiar with industrial equipment and parts and have the organization, systems skills, and attention to detail needed to keep service work moving. Key Responsibilities: Service Planning & Scheduling

Plan and coordinate service, repair, and preventative maintenance work across multiple customer locations. Build and maintain detailed work orders, including scope of work, parts and materials, labor needs, timelines, and service documentation. Coordinate technician schedules, service timelines, parts availability, and customer needs to help ensure work is ready for execution. Use familiarity with industrial equipment, parts, and maintenance terminology to support accurate work orders, parts identification, and service planning. Support the development and maintenance of service and preventative maintenance programs, including service offerings, parts, job plans, and related system information. Support Project Managers by keeping upcoming service work organized and moving forward, particularly while they are traveling or working on-site.

Parts, Equipment & Service Support

Identify and document industrial parts and components needed for service and repair work. Work with technicians, Project Managers, vendors, and procurement to determine parts and material needs and ensure availability before scheduled work. Research replacement parts and components using equipment information, manufacturer documentation, service history, part numbers, and other available resources. Maintain accurate part numbers, equipment information, service history, and related documentation within CMMS and ERP systems. Help ensure planned labor, parts, materials, and other service information are accurately documented to support quoting and invoicing.

CMMS, Data & Asset Management

Create and maintain asset hierarchies, equipment locations, preventative maintenance schedules, work orders, and related information within CMMS and ERP systems. Maintain accurate service data, including labor, materials, equipment information, service history, and customer interactions. Maintain and improve job plans, service templates, workflows, and documentation to drive consistency and efficiency. Support reporting and dashboards used to track service activity, upcoming work, and operational needs. Help maintain the quality and consistency of data used by Project Managers, technicians, and other Service & Repair team members.

Service Execution & Continuous Improvement

Review completed service work to identify opportunities to improve future planning, scheduling, job plans, and documentation. Apply lessons learned from completed jobs to improve the accuracy and efficiency of future service work. Support quoting and invoicing within ERP systems, including P21 or similar systems, to help ensure planned and completed work aligns with billing. Contribute to budget adherence and accurate service reporting. Provide occasional on-site support for service work, equipment documentation, or customer audits based on experience and business needs.

Education: High school diploma or equivalent. Experience: 2+ years of experience supporting maintenance, service, industrial parts, manufacturing, industrial operations, project coordination, or a related environment. Familiarity with industrial or mechanical parts and components, including the ability to identify, research, or differentiate parts using equipment information, documentation, part numbers, or similar resources. Experience working within a CMMS, ERP, service management, maintenance, inventory, or similar operational system. Strong administrative and organizational skills, with the ability to coordinate schedules, documentation, system information, and multiple priorities. Ability to learn and apply technical terminology, equipment information, and maintenance processes. Strong attention to detail with a focus on accurate work orders, documentation, scheduling, and system data. Ability to work independently while supporting Project Managers and a distributed field service team. Strong communication skills and the ability to coordinate effectively with technicians, Project Managers, vendors, customers, and other internal teams. Ability to travel up to 25% of the time, primarily throughout the Midwest, with occasional travel to other regions of the U.S. Must possess the ability to meet documentation requirements for domestic air travel.

Preferred:

Technical degree or certification in maintenance, operations, industrial technology, or a related field. Previous experience as a Maintenance Planner/Scheduler, Maintenance Coordinator, Maintenance Administrator, CMMS Administrator, Parts Coordinator, Service Coordinator, or similar role. Experience using or administering a CMMS, maintenance management system, ERP, or field service management system. Experience creating or maintaining work orders, preventative maintenance schedules, asset records, job plans, or maintenance documentation. Experience identifying, researching, sourcing, or coordinating mechanical, MRO, sanitary processing, or other industrial parts. Experience in a maintenance department, industrial service organization, manufacturing facility, MRO operation, equipment-related business, or parts department. Experience in food, dairy, beverage, or sanitary processing environments. Experience supporting field service technicians, Project Managers, or multi-site operations. Familiarity with preventative maintenance programs and asset management. Understanding of quoting, purchasing, invoicing, or service-based revenue. Experience building or improving workflows, templates, reports, or dashboards within CMMS, ERP, or service systems.
