Case Coordinator- Intake Operations

Job Summary

We are seeking a Case Coordinator- Intake Operations for a full-time contract opportunity in San Juan, PR within the healthcare services industry. This role supports intake operations for concurrent intake, appeals intake, and related support services, helping ensure healthcare information is processed accurately, confidentially, and on time.

This is a strong opportunity for a detail-oriented administrative or healthcare information professional who enjoys structured processes, data entry, document management, and communication with internal teams and healthcare stakeholders. The selected candidate will receive training across multiple intake functions and will work in a team-focused environment that values accuracy, reliability, confidentiality, and service excellence.

Key Responsibilities

- Enter demographic, clinical, and case information into internal clinical databases and client systems with a high level of accuracy.
- Retrieve, update, organize, index, and quality-check healthcare records, appeal documents, and related case materials.
- Access online portals and client systems to download data files, update case information, and support document retrieval.
- Make telephone calls to provide case updates and recommendations to clients, payors, and other appropriate contacts.
- Maintain confidentiality, HIPAA compliance, and the integrity of medical records and healthcare documentation.
- Monitor daily workflow, manage changing priorities, and support internal teams, vendors, and application support teams as needed.

Compensation and Benefits

- Pay rate: $13 to $13.25 per hour.
- Job type: Contract/Temporary.
- Schedule: Full-time, 40 hours per week.
- Shift availability: Multiple 8-hour shifts available between 6:00 AM and 12:00 AM AST.
- Weekend and holiday availability required.
- Overtime may be required based on business needs.
- Location: San Juan, Puerto Rico.

Required Qualifications and Skills

- Process concurrent intake, appeals intake, and healthcare support service cases.
- Maintain accurate data entry in clinical databases and client systems.
- Prepare, organize, index, and perform quality control on appeal and case-related documents.
- Communicate case updates and recommendations by phone and through internal systems.

- 1+ year of experience in medical records management, medical billing, healthcare information, claims processing, or a related administrative healthcare role.
- Bilingual proficiency in English and Spanish.
- Proficiency with Microsoft Outlook, Excel, and Word.
- Strong computer, typing, data entry, and online portal navigation skills.
- Experience using websites, electronic systems, and downloading data files.
- Knowledge of office procedures, record keeping, and professional telephone communications.
- Understanding of confidentiality requirements and HIPAA compliance.
- Knowledge of insurance appeal processes.
- Strong attention to detail, organization, and accuracy.
- Ability to work independently and as part of a team in a fast-paced healthcare operations environment.
- Flexibility to work assigned shifts, weekends, holidays, and overtime as needed.

Preferred Qualifications

- Previous experience supporting healthcare intake operations, appeals intake, medical records, claims processing, or utilization review support.
- Experience working with client clinical systems or healthcare case management platforms.
- Ability to manage multiple priorities while meeting deadlines and maintaining quality standards.
- Comfort working with confidential healthcare information and communicating with internal teams, clients, payors, vendors, and support teams.
