Flight Records Specialist

Overview Job Summary: The Aviation Records Specialist maintains accurate and compliant pilot and clinician records per Federal Aviation Regulations and company policies, supporting operational readiness across all bases through standardized, centralized record‑keeping, auditing, and reporting. Potential Remote Work Requirements: This position may allow remote work up to 2 days per week after completing training and obtaining a proficiency sign‑off. Remote work tasks include maintaining a secure and reliable remote environment, protecting confidential information, communicating with internal teams via email, phone, and virtual platforms, working independently with minimal supervision while meeting deadlines, and remaining available during standard 8 hours per day during established business hours. Initial remote work will be 1 day per week for a 6‑month trial period. Responsibilities Maintain pilot records Verify compliance with current Federal Aviation Regulations Develop pilot record‑keeping policies in accordance with federal guidelines Enter data for check rides, training, and new hire pilots Maintain and modify pilot database to meet training needs Ensure timely tracking and notification for medical certificates Create new‑hire files for pilots and verify accuracy of all paperwork, taking corrective action when needed Create database reports for Regional Aviation Manager (RAD), Regional Aviation Manager (RAM), and Area Manager Perform monthly audit of 25% of the pilot’s records and purge outdated records Maintain Daily Flight Log / Load Manifest sheets (DFL’s); return those with errors to the appropriate base for corrections Track and file pilots’ monthly duties Other duties as assigned Additional Job Requirements Regular scheduled attendance is required. Travel time is 0%. All employees must follow Air Methods’ employment practices and policies. Attendance is an essential function of the position. Supervisory Responsibilities: This position has no supervisory responsibilities. Qualifications To perform this job successfully, an individual must be able to perform each essential function satisfactorily. Education & Experience High school diploma or GED plus 1–3 years of related experience and/or training, or an equivalent combination of education and experience Aviation experience is preferred Skills Familiarity with office equipment such as fax, copier, and scanner Highly proficient proofreading, spelling, grammatical, and phone skills Knowledge of Federal Aviation Regulations (FARs) is preferred Excellent organizational skills, detail‑oriented, capability to prioritize and multi‑task, and meet daily, monthly, and quarterly deadlines Ability to discreetly handle confidential information Ability to be a team player with a professional attitude toward internal and external customers Ability to work independently with minimal direction Computer Skills Proficient with Microsoft Office Suite, including Word, Access, Excel, and Outlook Pay Minimum: USD $19.50 per hour.
