Clinic Supervisor

(FOR POOLING) The Clinic Supervisor is responsible for overseeing daily operations, ensuring efficient patient flow, managing staff, and maintaining high-quality patient care. This role requires strong leadership, organizational skills, and the ability to troubleshoot operational challenges while upholding clinic policies and procedures. Key Responsibilities And Accountabilities Operations Management Oversee daily clinic operations, ensuring smooth workflow and efficiency. Monitor patient check-in, triage, and provider schedules to minimize wait times. Ensure all equipment, supplies, and workstations are prepared for the day’s operations. Address and resolve operational issues as they arise. Maintains the operational efficiency of the practice by overseeing cleanliness standards, manages administrative tasks, coordinates equipment maintenance and procurement, and ensuring effective stock management. Staff Supervision & Development Supervise front desk and clinical staff to ensure optimal performance. Conduct staff scheduling, manage absences, and coordinate shift coverage as needed. Provide coaching and performance feedback to support staff development. Ensure compliance with clinic policies, procedures, and industry regulations. Patient Experience & Quality Assurance Maintain high standards of customer service and patient satisfaction. Ensure that patients receive high-quality care and have positive experiences during their visits to the clinic. Address patient concerns and complaints promptly and effectively, striving to resolve issues to their satisfaction. Collaborate with healthcare providers to maintain clinical excellence and adherence to best practices. Communication & Coordination Serve as a liaison between staff, providers, and management. Facilitate team meetings, briefings, and training sessions as needed. Ensure accurate documentation and reporting of operational metrics. Safety & Compliance Ensure adherence to infection control protocols and workplace safety policies. Monitor compliance with health regulations, clinic protocols, and accreditation standards. Address and escape any safety or compliance concerns as necessary. Documentation And Communication Assisting in drafting Memos and Contracts. Maintaining Admin files (i.e. memos from different departments). Prepare regular reports as needed (i.e. priority list for repairs). Financial Management Preparing financial documents (i.e. cash advance and request for payment). Prepares payment reports for Finance and Suppliers, as well as daily/monthly reports on sales and revenue. Prepares liquidation of revolving funds and cash advances of the branch/clinic. Manage the clinic’s budget and financial resources effectively, ensuring cost-effective operations. Inventory Management Manage inventory costs within the clinic’s budget. Maintain accurate inventory records of medical supplies, office materials, and equipment. Conduct regular inventory checks to prevent shortages or overstocking. Place orders for supplies in a timely manner to ensure uninterrupted clinic operations. Monitor supply usage trends to optimize ordering and reduce wastage. Provide inventory reports to management as needed. Facility Management Assisting in developing the facility management schedule. Maintaining the facility management schedule. Resolving administrative issues (including the maintenance of the facility). Coordinating with different departments and assessing their needs to ensure smooth day-to-day operations. External Relations And Compliance Service as a liaison between the clinic and external agencies (except for HMOs). Assists in permits and licensing. Sales And Reporting Gathering and collating sales reports from different departments. Additional Responsibilities Subject to management’s option to transfer at other clinic premises at its discretion and be prepared to take on other duties and responsibilities as assigned by the Company, its directors, or persons designated by the Management Qualifications Bachelor’s degree Proven experience as a clinic supervisor or similar role.
