Associate Operation Specialist, Program Operations

Associate Operation Specialist Location: US Remote (Preferred: St. Louis, Missouri) Responsibilities Work with cross‑functional team of program management, finance, technical and marketing personnel. Prepare and submit weekly invoices, generate reports, reconcile data, update monthly client presentations, manage and review project applications. Collaborate with IT and Delivery teams, maintain organized records, identify inefficiencies in invoice processes and suggest improvements. Interface with manufacturers, retailers, Trade Allies, customers, engineers & consultants, and review project application forms and submittals to ensure compliance with program policies and procedures. Provide administrative support to ensure rebate programs meet goals. Support field‑based staff and the network of participating Trade Allies. Maintain ongoing communication with participating contractors, customers and consultants. Clarify and resolve/escalate customer/contractor concerns related to program participation as necessary. Review project application forms and submittals. Review technical specifications, calculations and cost estimates for energy‑efficiency projects. Assist technical teams to ensure QA/QC standards are met. Perform energy‑savings calculations for prescriptive measures and upload records. Process program incentive payments per policies and procedures. Coordinate and follow up on program quality‑control activities (inspections, surveys). Data entry as part of invoice process and program forecasting. Create Excel formulas, pivot tables and macros daily. Responsible for invoicing and reporting processes, perform QA reviews with project managers and submit for client approval. Monitor program metrics and identify/trend data. Maintain and update shared files, resources and program documents. Update process workflows and team manuals. Minimum Qualifications Bachelor’s Degree. Proficiency in MS Office (Word, PowerPoint, Outlook, Excel). Preferred Qualifications Demonstrated ability to work independently and own processes. 1+ year experience developing, designing or administering operational processes, or managing operations for consulting projects for utilities, state energy offices, state/local governments or regional non‑profits. Success operating in complex cross‑functional teams to achieve high production, meet tight deadlines and deliver compliant quality work. Effective written and verbal communication with clients and colleagues at all levels. Benefits and Compensation Pay range: $55,665.00 – $94,631.00 (US 99 location).
