Procurement Coordinator

Whitecap Search is seeking a dedicated individual to join their team as a Procurement Coordinator. This role involves managing the ordering, purchasing, inventory tracking, and procurement documentation processes. The successful candidate will work closely with the Fiscal department to ensure compliance with budgets, grants, and purchasing requirements. The position requires travel between different program locations in Brooklyn and the Bronx alongside the Procurement Director. Principal Responsibilities Support the ordering and purchasing of food through online and phone orders from donated food sources, including City Harvest, whole-food vendors, and individual donors. Partner with the warehouse team to identify vendors, negotiate pricing, and procure kosher and halal food products. Maintain regular communication with Food Program staff, suppliers, and network agencies regarding order and purchase status, pick-ups, deliveries, and scheduling. Develop and maintain relationships with vendors and other partners to help secure donations of kosher and halal food products. Coordinate inbound delivery and outbound distribution logistics with vendors, warehouse staff, and network agencies. Coordinate vendor-direct deliveries to network agencies, special project deliveries, and emerging models of food provision. Collaborate with the Fiscal Department to obtain purchase approvals, submit required documentation, track payments, and monitor spending against available funding sources and grants. Support inventory tracking through a Salesforce-based inventory management system, documenting food moving into and out of the warehouse. Maintain accurate and timely data in the online inventory management system and support consistent system usage across Food Program operations.
