Substitute Secretary Loveland City School District Loveland City Schools - Loveland, Ohio Job Description Maintain records, handle phone and mail, and provide secretarial, clerical, and computer support to the school principal and staff. The role includes on‑call duties as needed. Salary $16.50 per hour Background Check A full BCI (Ohio) and FBI (Federal) background check must be completed and sent to the Ohio Department of Education upon offer of employment. The check must be no more than 12 months old. Responsibilities Receive and greet staff, students, parents, and visitors courteously. Perform clerical duties, including typing, filing, answering phones, and providing requested information. Maintain a clean and welcoming front office environment. Maintain inventory and process purchase orders for classroom and office supplies. Coordinate student registration and withdrawals and maintain student records. Create packets for open registration. Enter incoming students into the DASL system annually. Create cumulative folders for incoming students. Assist teachers in the preparation of materials. Receive and distribute inter‑office and U.S. mail. Maintain daily attendance operations and update the DASL system. Coordinate classified time cards and teacher attendance sheets. Assist the building principal with the creation of the annual building budget and maintain ongoing budget reports. Disseminate information to students, parents, and teachers as requested. Compile, format, type, and copy student curriculum guides, teacher handbooks, and other publications. Prepare deposits as needed. Maintain office equipment such as copy machine, fax machine and printers. Provide medical assistance in the absence of the school nurse, including dispensing medication, taking temperatures, and contacting appropriate personnel. Record student attendance during fire drills. Coordinate bus notes and changes for children. Receive, process, and send out letters for free and reduced lunches and school waivers. Assess and collect student fees and fines. Monitor visitor sign‑in and sign‑out and assist with building security. Qualifications High school diploma or equivalent. Experience with personal computers. Current driver’s license. Ability to communicate effectively with students, parents, colleagues, and administration. Ability to read and interpret documents such as reference manuals, Board policies and procedures manuals, simple instructions, short correspondence, and memos. Ability to write simple correspondence and respond to common inquiries or complaints. Ability to present information to administration, staff, public groups, and/or Board of Education. Ability to apply knowledge of current research and theory based on school objectives. Ability to establish and maintain effective working relationships with students, peers, parents, and community. Ability to speak clearly and concisely in written or oral communication. Ability to use computers where applicable. Ability to perform duties with awareness of all district requirements and Board of Education policies. Physical Demands Regular use of hands, arms, and voice. Frequent standing, walking, squatting, and moving up to 10 pounds regularly and 50 pounds occasionally. Work Environment Moderate noise level.
