Job Summary Executive Assistant – Los Angeles office, supporting Investment Operations and other groups. Responsibilities include scheduling, travel, expenses, call screening, and general administrative support. Primary Functions and Essential Responsibilities Meetings & Calendaring • Extensive coordination and scheduling of internal and external meetings, conference calls, video conference meetings using Outlook and Zoom; arranging catering and document distribution; prioritize calendar items; schedule conference rooms; coordinate setup/cleanup with hospitality team. Travel & Expenses • Coordinate all aspects of domestic and international travel (air, ground, lodging); manage payment and maintain real‑time tracking of itinerary changes; maintain passports and visas; compose detailed itineraries; track flights; organize cash and AMEX expense reports using Concur. Daily & On‑going • Answer phones, screen calls, take messages; maintain documents, records, reports confidentially; perform professional information searches; register professionals for conferences and networking events; RSVP to events; provide backup support to other administrative team members; coordinate mailings; miscellaneous projects and support leverage for professionals as needed, including event management. Qualifications Education: Bachelor’s degree or equivalent work experience required. Experience: 5-7 years of experience in an administrative role, preferably in financial services. Proficiency with Microsoft Office suite – particularly Outlook, Word, Excel, PPT. General requirements: eager, can‑do attitude; excellent writing and communication; highly organized; manage time and priorities; excellent problem‑solving; strong interpersonal skills; strong phone etiquette; technology savvy; highly responsive and able to work evenings and weekends when needed. Reporting Relationships Reports to Executive Assistant senior staff (specific supervisory line not specified). Compensation Annual base salary $80,000 – $100,000. May also include discretionary performance‑based bonus.
