Loan Support Specialist

This position plays a key role in protecting the Bank's collateral position by tracking and resolving post-closing and title exceptions, ensuring loan files are in proper condition for final title and long-term retention. Specific Responsibilities
  • Provides administrative assistance to the loan officer and staff, including updating loan data into the financial institution's computers, and assembling of documentation for loan closing.
  • Ensures that loan files contain documents with proper signature, dates, and other relevant data.
  • Assemble, verify, and maintain accuracy of loan documentation in accordance with Bank policy and regulatory requirements.
  • Review loan documents for proper vesting, legal descriptions, closing dates, and signatures.
  • Maintain loan files to ensure readiness for audits, examinations, and internal reviews.
  • Perform post-closing review of consumer and residential loan files to ensure required documentation is present, properly executed, dated, and filed.
  • Track, document, and monitor post-closing and title exceptions for consumer, residential and commercial loans.
  • Work with internal departments, loan officers, title companies, and third-party vendors to resolve outstanding exceptions in a timely manner.
  • Ensure the Bank's lien position and final title status are properly documented and perfected.
  • Maintain accurate exception logs and provide reporting as needed to management.
  • Prepare loan documents for scanning by organizing files and removing staples, paperclips, or bindings.
  • Scan loan documents into the Bank's document imaging system (including AccuSystems or successor systems).
  • Perform quality control reviews of scanned documents to ensure accuracy, clarity, and completeness.
  • Conduct quality control checks on existing electronic loan files.
  • Scan miscellaneous loan-related documents as required.
  • Provide administrative support to loan officers and loan administration staff.
  • Respond to internal and external inquiries related to loan documentation and post-closing processing.
  • Assist with insurance tracking and related loan servicing support.
  • Evaluate and resolve minor to intermediate loan documentation and post-closing issues.
  • Perform other duties as assigned in support of Loan Administration operations.
Qualifications
  • High school diploma or equivalent required.
  • Six months to one year of experience in a financial institution or office environment preferred.
  • General understanding of consumer and residential loan products and processes.
  • Proficient computer skills, including loan systems, document imaging software, and standard office applications.
  • Strong organizational, filing, and administrative skills.

Physical requirements include prolonged periods sitting at a desk and working on a computer.
