Compensation: $30 - $35 p/hr (DOE)
Employment type: Full-Time 7:00 am to 3:30 pm

Local contractor is seeking an Office & Accounts Payable Manager who is a team player, driven, outgoing, organized and has excellent attention to detail.

Our Administrative Assistance will be a key employee and is important to our success.

Administrative Assistance:

- Assist with office operations, supplies, equipment, and vendor coordination

- Serve as the primary point of contact for employees, clients, and visitors

- Support HR functions including on-boarding, maintaining employee files, and coordinating communications

- Assist with scheduling, payroll support, and time-off tracking

- Ensure compliance with company policies, safety protocols, and state/federal regulations

- Coordinate meetings, company events, and internal communications

- Develop and maintain office procedures to improve efficiency

Accts. Payable / Accts. Receivables:

- Manage accounts payable and accounts receivable

- Prepare and send client invoices and follow up on outstanding balances

- Enter and track vendor and subcontractor invoices

- Maintain accurate payment and billing records

- Assist with bookkeeping and reconciliation of company records

- Prepare and send contracts, change orders, and other project documents

- Review contracts and documents for accuracy before sending

- Maintain organized digital files and project records

- Collect and maintain vendor/subcontractor W-9s, insurance certificates, and other required documentation

- Assist with scheduling, client communications, and project coordination

- Answer phones and emails professionally

- Provide general administrative support to management and the field team

Qualifications/Requirements:

- Previous administrative, bookkeeping, AP/AR, or office management experience preferred
- Highly organized with attention to detail.

- Ability to work independently/ multi-task.

- Team Player

- Strong interpersonal and communication skills, with the ability to interact professionally at all levels.

- Proficiency in Microsoft Office, Quickbooks, Excel and Dropbox.

- Self-starter with an excellent work ethic and good under pressure.

- Bilingual in Spanish is a plus.

- Willing to learn.

- Excellent attitude is a top-quality we are in search of.

- At least 5 years of experience.

- Ability to thrive in a dynamic environment and manage competing priorities
