Service Dispatch Coordinator

PSX is seeking a highly organized, polished, and customer-focused  Service Coordinator to support our Service Department in scheduling, communication, and administrative coordination. This role is central to ensuring our field technicians and subcontractors are efficiently dispatched and that our customers receive timely, professional support for their parking and access control systems.

This position will work closely with national accounts such as  FedEx and CEVA , including updating and managing service activity within customer portals such as  ServiceChannel , coordinating subcontractors when needed, and maintaining clear communication throughout each service call.

The Service Coordinator works closely with technicians, customers, and management to manage work orders, service schedules, and billing follow-through. This is a fast-paced, detail-oriented role requiring strong multitasking and communication skills, with the ability to work effectively within a team environment.

Key Responsibilities

• Schedule and dispatch field technicians and subcontractors for installations, preventive maintenance, and service calls.
• Receive and log service requests via phone, email, or customer portals; assign work orders by priority, technician availability, and skill set.
• Manage service activity within the  ServiceChannel portal for FedEx and other customer platforms as required.
• Maintain clear, professional customer communication regarding scheduling, ETAs, status updates, and follow-ups.
• Create, update, and close work orders in Davisware.
• Coordinate parts orders, warranty requests, and technician materials.
• Review service reports and timesheets for accuracy and ensure documentation for invoicing.
• Work with Accounting to verify billing, purchase orders, and warranty credits.
• Track preventive maintenance agreements and schedule recurring visits.
• Assist Service Management with reports, metrics, and administrative tasks.
• Provide administrative backup including purchase orders, materials tracking, RFAs, and organizing job materials.

Qualifications

• Experience coordinating schedules, technicians, or subcontractors in a construction, facilities, service, or field-operations environment.
• Familiarity with work orders, purchase orders, service documentation, or dispatching processes (or ability to learn quickly).
• Professional, pleasant, and polished communication style with a customer-first attitude.
• Strong organizational and problem-solving skills; able to juggle multiple priorities under pressure.
• Proficiency in Microsoft Office (Outlook, Excel, Word).
• Experience with service software (Davisware, ServiceTitan, FieldEdge, etc.) a plus but not required.
• High school diploma required.

Work Environment & Benefits

$19-23/hour

Full-time, in-office position
Monday–Friday, 8:00 a.m.–5:00 p.m.
