Responsibilities include managing the Director’s daily schedule, coordinating executive assignments and activities, making travel arrangements, completing purchase requisitions, scheduling meetings and trainings, answering telephone inquiries, and performing other duties as assigned. The role requires leadership qualities such as adaptability, flexibility, dependability, and accountability, and a high degree of professional independence, initiative, diplomacy, discretion, and tact. Essential Job Functions Maintain the Director’s calendar in Microsoft Outlook, identify scheduling conflicts, and ensure timely updates. Coordinate, schedule, and prioritize internal and external appointments, meetings, and conference calls. Organize and prepare meeting materials, including documents, handouts, and logistics, and manage travel arrangements via the department’s e‑Travel system. Track action items, contracts, reports, correspondence, and HR documents requiring the Director’s signature; ensure timely approvals. Process incoming mail and administrative documents efficiently and confidentially. Provide backup support to other executive staff and train new staff on relevant policies and procedures. Participate in disaster response, recovery, or Continuity of Operations (COOP) activation as needed, which may require alternate shift patterns. Knowledge, Skills, and Abilities (KSAs) Knowledge of agency administrative policies and procedures; state records retention policies. Proficiency with Microsoft Office products (Word, Outlook, Excel, Visio, PowerPoint). Strong office management and organizational skills; adept at time management and planning. Problem‑solving abilities and development of monitoring procedures. Effective oral and written communication with diverse staff and the public. Independent work, information gathering, and synthesis of complex data into simple terms. Ability to handle multiple projects with frequent deadlines. Delegation, coordination of work assignments, proofreading, and editing for grammar. Maintain confidentiality and build positive working relationships with supervisors and coworkers. Adaptability to a fast‑paced, dynamic work environment. Initial Screening Criteria Five years of experience providing high‑level administrative support to executive‑level leadership. Experience coordinating, tracking, and responding to executive assignments. Experience developing processes and procedures. HHSC Experience Preferred. Flexibility in work hours may be required, including overtime, extended hours, weekends, and holidays.
